A well-established Secondary School in Cambridge is looking for a highly organised, professional and approachable School Administrator to join its busy administration team on a full-time, permanent basis.

This is a varied role that would suit an experienced administrator who enjoys working in a fast-paced environment and takes pride in providing an efficient, friendly and professional service. You will be an important point of contact for students, parents, staff, visitors and external organisations, helping to ensure the school office operates smoothly throughout the academic year.

Working closely with the Headteacher, Senior Leadership Team and Office Manager, you will support the day-to-day administration of the school. You will deal confidently with telephone and email enquiries, welcome visitors and parents, manage correspondence and ensure that queries are directed to the appropriate member of staff.

A significant part of the position will involve maintaining accurate student information. You will update the school's management information system, process changes to student records and assist with admissions, transfers and leavers. You will need excellent attention to detail, particularly when dealing with confidential information.

The role will also involve supporting attendance administration, preparing letters and reports, organising meetings, maintaining electronic and paper records and assisting with school events. You may also support educational visits, examinations and other administrative projects depending on the needs of the school.

The successful candidate will be someone who can remain calm when the office is busy, prioritise competing demands and communicate professionally with a wide range of people.

School Administrator - Responsibilities

  • Act as a professional first point of contact for parents, visitors and external agencies

  • Answer telephone calls and respond to general email enquiries

  • Maintain accurate student records

  • Update the school's management information system

  • Support admissions, transfers and student leavers

  • Assist with attendance administration

  • Prepare letters, reports and general correspondence

  • Organise meetings and maintain administrative calendars

  • Maintain confidential paper and electronic records

  • Support educational visits and school events

  • Assist with examinations and assessment administration where required

  • Monitor office supplies and assist with ordering

  • Support senior leaders and teaching staff with administrative tasks

  • Follow safeguarding and visitor procedures

  • Ensure the reception and office areas remain professional and welcoming

  • Assist with general office organisation and filing

The successful candidate will be expected to communicate effectively with staff, students and families and maintain a professional approach even when dealing with challenging or time-sensitive enquiries.

School Administrator - Experience and Qualifications

The school is looking for someone with:

  • Previous administration experience

  • School administration experience desirable

  • Excellent written and verbal communication skills

  • Strong organisational and time-management abilities

  • Excellent attention to detail

  • Confident IT skills, particularly Microsoft Office

  • Experience using Arbor, Bromcom or SIMS desirable

  • Ability to handle confidential information appropriately

  • Professional and approachable manner

  • Ability to work independently and as part of a team

  • Commitment to safeguarding and student welfare

Candidates from professional office environments with strong transferable administration experience will also be considered.

The Working Environment

This is a role where no two days are necessarily the same. You could be dealing with parent enquiries in the morning, updating student records before assisting with an afternoon meeting or supporting preparations for a school event.

The successful candidate will need to be flexible and willing to support colleagues across the school when required.
