We are looking for an experienced School Administrator to provide additional support within the main school office of a busy secondary school in Birmingham. The successful candidate will need to be confident working independently, comfortable dealing with a wide range of enquiries and able to keep on top of detailed administrative work. Previous experience within a school is essential.

Key Responsibilities

  • Manage a range of day-to-day administrative tasks.
  • Maintain accurate pupil and staff records.
  • Update school databases and internal systems.
  • Draft, format and proofread letters, reports and correspondence.
  • Maintain electronic and paper filing systems.
  • Support staff with administrative requests.
  • Assist with meetings, appointments and school events.

Reception & Enquiries

  • Provide reception cover as required.
  • Welcome visitors and ensure appropriate procedures are followed.
  • Answer telephone calls and respond to enquiries.
  • Deal with parent and carer enquiries professionally.
  • Liaise with staff and external agencies where required.

Data & Compliance

  • Maintain accurate and up-to-date records.
  • Complete data entry and administrative checks.
  • Maintain spreadsheets and trackers.
  • Handle confidential information appropriately.
  • Follow school procedures relating to safeguarding and data protection.

Essential Skills & Experience

  • Previous experience working in a school administration position.
  • Experience using a school MIS/database.
  • Strong Microsoft Office and Excel skills.
  • Excellent written English and communication skills.
  • Strong organisational and time-management skills.
  • High attention to detail and accuracy.
  • Ability to work at pace and manage competing priorities.
  • Ability to work with minimal supervision.
  • Professional approach when dealing with pupils, parents, staff and visitors.
  • Understanding of confidentiality, safeguarding and data protection.
  • Experience of Arbor, attendance, admissions or school finance administration would be beneficial.
