Objective of the role
Within the EMEA team in London and reporting both to the global Supply Chain team and the Retail & Wholesale EMEA team, the Sales Administration Coordinator will ensure a perfect coordination between the headquarter and the Local Sales operation (Retail & Wholesale) for EMEA in regards to key topics such as Seasonal launches, Order portfolio fulfilment, Warehousing, Transportation, After-Sales, Credit Management, Store openings, Market sessions.
He/she ensures the constant link between the sales administration and supply chain team (including Customer Service and Credit) and the Retail & Wholesale EMEA team in London.
Main Responsibilities
Supply – Sales & Distribution
- Coordinate seasonal launches (Retail, Wholesale) according to the global marketing plan and the regional product availability.
- Coordinate with Sales, Customer Service and Credit departments to reach monthly invoicing targets (OTIF).
- Help maximize regional turnover through in-season replenishment and commercial action plans.
- Regularly maintain the customer database (contacts, incoterm, etc.) & follow-up on new account creation requests and developments.
- Maintain customer rating (based on fall out rate, credit management evaluation, etc…) and suggest action plan.
- Assist the sales team in the implementation of the automatic replen program (NOOS – Never Out of Stock).
- Create and provide tools to stimulate reorders and animate the EMEA Whs distribution network. Follow up EMEA Reorder portfolio.
- Coordinate with logistics, and supply chains of key partners and department store.
- Market: attend customers meetings when needed and provide live visibility on replenishment inventory and business development.
- Retail: Oversee the bi-weekly replenishment and the target stock levels by SKU for EMEA Retail Stores. Coordinate in store new launches.
- Support the Wholesale and Retail projects from a sales administration, logistic and inventory standpoint.
Inventory management
- Monitor top sellers’ availability in EMEA DC through rebalancing with other regional DCs.
- Provide monthly regional stock picture to plan off-price activity and liquidation opportunities.
- Coordinate yearly physical stock takings at the DC and in the stores according to Finance / HQ guidelines and calendars.
Sales Administration
- Assist the Customer Service to reach monthly invoicing Target and provide support in solving local issues when necessary.
- Provide local knowledge to increase customer satisfaction level in EMEA.
- Follow up together key strategic projects from a logistic / supply chain perspective: Pop up, launches, Events.
Credit Management
- Coordinate with the Credit Management Service to push shipping once payment is received and provide support in solving local issues when necessary.
- Help interact with customers when credit management issue occurs in order to find solutions.
- Provide local knowledge to increase customer satisfaction level in EMEA.
Reporting
- Follow the fulfilment and the dilution for each assigned VIC monthly vs. yearly objectives (Customer health card).
- Analyze Sell-Out information from the customers to customize reorder proposals.
- Provide ad-hoc reports and statistics (stock availability, deliveries, pricing) to the Sales Team / Customers.
Main selection criteria:
- Experience / Internship in Supply Chain or Sales Administration.
- Understanding of warehouses systems, credit control, logistics.
- Customer- and result-oriented.
- Sales oriented and good analytical skills.
- Team player attitude, good communication skills.
- Excellent coordination and organizational skills with strong attention to detail.
- Capacity to multi-task & work under pressure / shifting priorities.
- Fluent English and Italian is a must, French or German is a plus.
- Excellent working knowledge of Office (Excel, PowerPoint).
- Previous working experience with ERPs (AX, SAP) a plus.
- Proactive approach in tackling issues and identifying solutions.
- Keen interest in luxury and fashion.
