Role Summary / Purpose and Scope

The Assistant Estate Manager serves as the first point of contact, supporting the delivery of high-quality services and assisting the wider management team. This role is responsible for ensuring excellent client engagement and customer service, while overseeing the effective coordination of contractors, security personnel, and third-party service providers. The Assistant Estate Manager is also expected to monitor expenditure and ensure all operations are carried out in compliance with current legislation and best practice standards.

Skills, Knowledge and Values

Skills (People & Technical)

  • Monitoring statutory and internal compliance, instructing audits, assessments and specialist advice, aligning with service partners for control documents, log books and online management systems which form MAPP’s control environment including meeting MAPP policies and procedures, RICS and ISO standards and any statutory and insurance timelines and escalation requirements.
  • Engage with occupiers including implementation of Customer Experience frameworks for the building to improve occupier satisfaction and retention, occupier forums and meetings and placemaking and V2 initiatives.
  • In partnership with the Sustainability Team, develop and implement sustainability action plans, monitor resource consumption, improve recycling and reduce carbon emissions and waste.
  • Assist and complete various reports as well as presenting said reports including Monthly, Quarterly and Management or Ad Hoc adhering to any legislative requirements including sustainability and health and safety.
  • Excellent communication, in person, on the phone and in email.
  • Time management & Excellent organisational skills.
  • Committed and focused.
  • Assist with the Management of soft services contractors.
  • Undertake the monthly building Utility readings and ensure these are logged centrally.
  • Excellent organisational skills & strong interpersonal skills, capable of communicating at various levels.
  • Complete fire safety checks daily and log centrally maintaining accurate records.
  • Able to use own initiative.
  • Support the Building Manager with any afterhours building needs and activities as required.
  • Effective PC skills, including working knowledge of Microsoft and Google packages.
  • Pro-active, flexible attitude to changes in the company, IT systems and the role.

Experience and Salary

Level of Experience / Certifications:

  • 2 years experience working in a similar role.
  • IOSH.
  • IWFM Member desirable.

Working Hours: 9am - 5.30pm Monday - Friday

Salary Range (Based on Experience): £40,000 to £42,000 per annum, depending on experience.
