Role Summary / Purpose and Scope
The Reception functions as the front line for MAPP assisting in all aspects of service delivery, supporting the Site Director and Senior Management team. You will be directly responsible for the serviced office accommodation and conference rooms, ensuring that the highest standards of management, maintenance and service are being maintained whilst having due regard to expenditure and current legislation.

You will be directly responsible for visitor management and first line tenant support, ensuring that the highest standards of customer service, being maintained whilst having due regard to expenditure and current legislation. You will also support with on-site facilities including meeting room management, events and shared tenant platforms
Skills, Knowledge and Values
- Promotes a high level of satisfaction among occupiers and clients by promptly responding to their service requirements. Assures prompt response by other team members and selected contractors through dispatch, voice mail and/or other direct contact.
- Ensure compliance after training with MAPP to standards of policies and procedures established for the portfolio.
- Understanding of all site emergency procedures and the role required by the site team.
- Communicate with occupiers and clients in a courteous manner and be willing to assist where able, acknowledging your role as the first line site ambassador and reflecting the clients image through correct quality service.
- Meet and greet visitors to site in a professional, courteous and efficient manner and receive calls and callers in a timely and professional manner
- Management of the access control system onsite, creation and distribution of site access
- badges and access levels.
- Management of the shared tenant platform and providing front line support for all onsite tenants.
- Management of small site events and support with larger events in partnership with the onsite catering team and site team.
- Meeting and conference room booking support, providing initial admin and booking support along with co-ordination on the day, including AV support where required.
- Understanding of the site comms and digital screen software and deputising for the FOH Manager on all site comms.
- Handling PO/Invoicing for the Site
- Regular audits of all shared Landlord areas / common parts and vacant floors and conference rooms to ensure high level of standard is maintained.
- Assists the Site Director in developing a close working relationship with all contractors to ensure they fully understand the MAPP culture and standards, ensuring a high quality service is delivered.
- Time management & Excellent organisational skills
- Stationery and conference/meeting room sundries - sends stationery orders to the Service Desk once approved by the Site Director.
- Maintaining the Site Health & Safety system. To ensure all health and safety audits are carried out in accordance with the planned programme and all follow up actions carried out within due timetable. This also includes ensuring that Riskwise (H&S Management tool) is regularly monitored and updated in accordance with all the Health and Safety requirements and current legislation.
- Effective PC skills, including working knowledge of Microsoft packages

Salary Range (Based on Experience)
£26,300 - £27,000
