Acteon provides a range of industry-leading products and services to support marine and subsea projects for the renewable, nearshore construction and oil and gas sectors across all phases of the lifecycle. We develop and engineer solutions and integrated services using data and knowledge-based insight across our customers’ dynamic floating and fixed physical infrastructure.
Acteon is currently looking for a diligent & efficient HR Administrator to join the Acteon Team on a full time, 6 months fixed term contract basis. Working a hybrid model, the role is based at their facility in the Bridge of Don, Aberdeen office. The HR Administrator will report into the HR Advisor. The main purpose of the HR Administrator role is to be responsible for all administrative tasks relating to the employee life cycle, providing administrative support and improvement initiatives to the UK HR team members to ensure the HR function maintains an effective and efficient seamless best-in-class service to the regional business units.
Duties & Responsibilities
- Onboarding paperwork including offer letter, employment contract and completing any pre-employment screening requirements including right to work checks.
- Assist with administration of benefit schemes and maintenance including ensuring accurate data is recorded in APP for all employees.
- Delivering employee inductions.
- Amendment to terms and conditions.
- Leaver administration.
- Responsible for administrating employee changes, ensuring APP and personnel files are up to date, and any changes are communicated to required parties e.g., Finance teams and benefits providers.
- Monitoring visa expiration dates and advising in a timely manner.
- Drafting letters and reports as required in support of the regional HR team.
- Assist with annual HR activities and processes including Salary Review, Bonus Scheme, and renewal exercises.
- Supporting roll out of group HR policies and initiatives as required.
- Supporting the HR team to ensure up to date job descriptions are in place for all roles.
- Working with the HR team to ensure a consistent approach and audit readiness by ensuring all HR processes are being followed and the appropriate documentation is filed accordingly.
- Assisting with the monthly pay flow files/payroll processing, ensuring all new start information/leavers and contractual and benefit changes are captured, before sending to Finance for processing.
- With guidance from HRBP, provide HR administrative support in confidential meetings including investigations, disciplinaries, absence, probation and performance discussions including arranging any meetings as required.
- Occasional travel to other Acteon worksites may be required.
- Any other HR activity which may be required.
Requirements
- 2+ years’ experience within a similar role.
- Experience of working in a fast-paced business.
- HR systems experience desirable.
- Higher Grades/A-Level or equivalent including English.
- The interest to pursue a formal HR qualification in the future e.g., CIPD.
- Able to maintain confidentiality and adherence to employment law and working practices.
- Able to adapt and manage conflicting priorities.
- Resilient and able to bounce back quickly.
- Excellent attention to detail applied to all tasks.
- Ability to prioritise and manage a busy workload, covering different companies.
- Strong IT and MS Office skills.
- Strong communication and interpersonal skills, with the ability to communicate effectively in both verbal and written forms.
- Full UK Driving Licence.
