At Mantis we are looking for someone meticulous, organised and customer-focused who is ready to play a key role in our business support team.

As our Customer Service Administrator, you will play a key role in supporting the Office Manager and Business Support Lead, providing essential administrative and customer service support across the business and to our technical engineering teams, while helping drive our shared vision of meeting the UK’s 2050 Net Zero Carbon Targets for Buildings.

You will become an integral part of a friendly and dynamic design & build contractor based in the heart of Wilmslow town centre, playing an important role in supporting both our customers and the day-to-day operations of the business.

This is a varied and fast-paced role, ideal for someone who enjoys working across multiple tasks and thrives in an environment where no two days are the same.

There is a lot to learn and manage, making this position well suited to someone early in their career looking to take the next step, or someone seeking a busy and diverse role.

The role will primarily focus on managing inbound and outbound customer enquiries, delivering excellent customer service, and supporting a wide range of general business operations, including survey bookings, data management and administrative coordination.

THE ROLE (but not limited to)

  • Managing two dedicated business phone lines – the main company line and a direct Tenant Liaison line – handling inbound and outbound calls in a professional and friendly manner
  • Serving as the dedicated point of contact for residents and tenants on live retrofit programmes, managing enquiries, appointment scheduling and communication throughout the customer journey in line with PAS 2035 resident engagement requirements
  • Logging and tracking all tenant contact attempts, access outcomes and communication in line with programme requirements, escalating no-access or vulnerability concerns to the Retrofit Coordinator promptly
  • Acting as the first point of contact for customer enquiries, providing a high standard of service at all times
  • Responding to customer queries via phone and email, ensuring timely and accurate communication
  • Proactively making outbound calls for follow-ups, appointment confirmations and updates
  • Managing the customer journey from initial enquiry through to project coordination and completion
  • Coordinating survey bookings, site visits and appointments with customers and internal teams
  • Supporting the quoting process, including gathering information, arranging consultations and issuing quotations
  • Managing shared inboxes, ensuring all enquiries and communications are handled efficiently
  • Maintaining accurate customer records, databases and Excel trackers
  • Liaising with internal teams to ensure smooth communication and project delivery
  • Supporting general administrative tasks across the business
  • Assisting with basic marketing activities and customer communications where required
  • Supporting recruitment coordination and general office administration
  • Carrying out ad hoc duties to support the wider team and management

TO BE SUCCESSFUL, THE FOLLOWING EXPERIENCE WILL BE REQUIRED

  • Minimum 2 years’ administrative experience
  • Experience in MS packages (Excel to a competent level)
  • Strong communication skills (inbound and outbound)
  • Minimum GCSE grades C and above
  • Excellent organisational skills, adaptability and ability to work in a fast-paced environment
