The Materials Co-ordinator is responsible for identifying required materials early to enable procurement, in line with project milestones, and for coordinating long lead delivery items in conjunction with the Materials Co-ordinator.

Responsibilities include:

  • Obtain exchanger gasket drawings and ensure gaskets are ordered against approved drawings/sketches signed off for the Turnaround event.
  • Copy records of exchanger gasket sketches to be kept by the Materials Co-ordinator.
  • Lead NPQC & Expediting activities at an early stage of the Event or Turnaround worklist and identify items requiring Client inspection (e.g., Material Criticality Clarification Request).
  • Complete Material Criticality Clarification Requests for special material requirements without full specifications or IFC engineered drawings and obtain sign-off from the equipment owner’s engineer before budgeting quotations.
  • Obtain budget authority for purchases (through Stripes) and raise material purchase requests in SAP, ensuring relevant DOAG approvals and forwarding to the Materials Co-ordinator for action.
  • Coordinate with UKAPM to purchase materials in line with UKAPM Procurement Procedures or reserve stock items as appropriate; ensure PMI requirements are met on delivery and store materials in the designated turn-around lay-down area.
  • Contribute to Materials Security & Control by setting up secure storage and laydown areas to protect company assets and prevent loss of inventory.

Turnaround Execution

  • Maintain daily contact with the Turnaround Team and respond to urgent material requirements; inform relevant parties of out-of-hours deliveries and organise unloading facilities when appropriate.
  • Materials Dispatch Procedure: ensure items leaving the site follow the MDR process; complete and sign the Materials Dispatch Report and accompany goods with the relevant documentation.
  • Track removal of equipment for overhaul and ensure progress is monitored until returned to site.
  • Follow examples of material/equipment types requiring the dispatch procedure (e.g., control valve overhauls, pipe spool modifications, civil steelwork modifications, machinery spares overhauls, etc.).

Post Turnaround

  • Ensure surplus materials are returned to the warehouse or disposed of; review specially purchased materials for future use, sale, or disposal.
  • Produce a Close Out Report detailing all items from the Turnaround worklist, including procurement anomalies or equipment unavailability.
