As Team Secretary for Group Legal and Corporate Governance, you will use your excellent planning and organisation skills to effectively manage the Deputy Company Secretary’s calendar, including planning and coordinating travel arrangements, meetings and events and processing associated expenses. Showcasing your excellent coordination expertise, you’ll support the running of the Group Legal and Corporate Governance teams, including payment of invoices, meetings and room management, and secretarial assistance. Given the nature of the role, handling sensitive and confidential information while exercising professionalism and discretion is critical to success.

Principal Duties and Responsibilities
- Supporting the Deputy Company Secretary with all aspects of calendar management, meeting arrangements and support, planning and coordinating travel arrangements and expenses.
- Supporting the Legal and Corporate Governance teams with meeting liaison, IT requirements, signing and notarisation of documents, and travel arrangements.
- Onboarding new members of the Legal and Corporate Governance team based in the UK, including IT equipment, setting up new accounts, and introduction meetings.
- Arranging and supporting complex executive and team meetings with internal and external resources.
- Responsible for planning and logistics of all Global Group legal meetings, team conferences and coordination of attendance, slides and papers and a shared portal for document storage.
- Supporting the management of company Trademark Renewals and liaising with trademark attorneys as required.
- Process purchase orders and invoices for Corporate Governance and Legal activities.
- Collating and providing detailed expense reports for Corporate Governance team and legal team.
Requirements:
Required Experience
- Calendar and meeting management.
- Highly organised, and able to prioritise a varied workload, including working effectively under tight deadlines.
- High level of discretion and the ability to respect highly confidential information.
- Proficient IT skills, particularly the Microsoft Office and Google suites.
Required Leadership Traits and Characteristics
- High level of trustworthiness and reliability with experience working in a fast paced lean environment.
- Highly professional, proactive and flexible.
- Excellent organisational skills with strong attention to detail. Good instincts with the ability to pre-empt matters and issues rather than managing them reactively.
- Ability to foster good working relationships both internally and externally and comfortable liaising with senior stakeholders and building relationships with people at all levels within an organisation.
Formal Education, Qualifications or Training
- No formal training required. Ideally some experience managing competing stakeholders, or in a fast-paced environment.
