An exciting opportunity has arisen for a part-time Medical Secretary to join our team at Manor Park Surgery. The successful candidate will provide an efficient, comprehensive secretarial and administrative support service to the Practice. Working days required are Monday, Tuesday & Friday or Monday, Thursday & Friday.
The post-holder is expected to comply with the employment policies and procedures, with due regard to clinical and information governance policies and procedures, and any other policies and procedures necessary for the safe and effective discharge of the duties contained within this document. This job description is subject to a flexibility clause and may change according to business requirements.
Main duties of the job:
- Prioritise all incoming correspondence and distribute or process as necessary.
- Ensure that all urgent and 2 week wait referrals are processed in a timely manner.
- Ensure SystmOne address book, templates and pathways relating to referrals and provider are up to date.
- Use ERS (e-referral service) for referrals and advice.
- Manage work lists on ERS (e-referral service).
- Maintain accurate patient records including inputting data and read coding on SystmOne.
- Respond to any patient queries.
- Liaise with other healthcare providers regarding issues relating to existing referrals/letters and queries the clinicians may need resolving.
- Answer incoming phone calls and handle requests appropriately.
- Communicate and liaise between all disciplines of staff as required.
- Action all incoming emails into a shared mailbox.
- Collate and send clinical letters and reports to patients or other healthcare providers.
- Maintain any personal correspondence files as required by Practices.
- Perform any reasonable administrative tasks as requested.
About us:
Manor Park Surgery is a GP surgery based in Bramley, Leeds. We are a four GP partner training practice serving a population of circa 14,000 patients, and we use SystmOne. We offer training for nursing students and GP registrars. We are a forward thinking, multi-disciplinary team and we work supportively with our Care Navigation and Administration teams. We have a purpose-built, two storey building with on-site parking facilities and we are rated good by the CQC. Manor Park Surgery is an active member of the West Leeds Primary Care Network.
It is essential that the successful candidate is a highly motivated individual with excellent typing and interpersonal skills, including a sound knowledge of medical terminology. The post holder will need to meet tight deadlines, manage confidential patient information and maintain high standards relating to administrative processes. This includes the timely processing of clinical information (both electronic and hard copy) and liaising with internal and external services such as secondary care and community providers.
Person Specification:
- Strong command of the English language, both written and spoken (essential).
- Excellent typing, IT and organisational skills.
- Experience of using own initiative.
