Purpose of Position:
To provide day to day administrative support to the Production team. The role will be responsible for processing purchase orders onto internal intranet system.
Key Responsibilities:
- Cross check Purchase Orders (PO) quantities against Sales Orders (SO).
- Raise Purchase Orders (PO).
- Change or amend any POs or SOs as necessary and inform other systems’ account managers.
- Ensure Purchase Orders’ trackers and logs are maintained and updated regularly.
- Contact the IT team to resolve any issues that might encounter using a dedicated tracker.
- Raise all labels and send them to factories.
- Log in all production samples (press orders, special orders, ecommerce photography orders, gifting orders) received in office and distribute them to each relevant department.
- Quality control on Photography pairs and promptly communicate issues to relevant factories upon discussion and agreement with the whole Production team.
- Maintain and update material stock for production.
- Maintain and update packaging stock for production.
- Ensure all labels are sent to factories in a timely manner.
- Provide support to the team when needed and carry out reports upon Production Manager and Production Coordinator’s request.
- Provide administrative support to the Senior Repair & Return Specialist as required, including analysing and organising QC reports (downloading, saving, and maintaining records), coordinating shipments to factories or customers, and assisting with ad hoc tasks.
- Be responsible for box labels’ stock levels.
- Prepare Long Term Declarations on a seasonal basis in a timely manner.
- Reporting as needed.
- Carry out reports on a weekly or ad hoc basis.
- Any other tasks as requested.
Skills and Experience Required:
- Italian language skill is mandatory.
- No previous experience required, however, any previous studies or experience related to production or supply chain would be beneficial.
- Highly proficient in MS Office, PLM.
- Strong numeracy skills.
- Excellent accuracy and attention to detail.
- Ability to prioritise tasks, and ensure delivery of results within tight deadlines.
- Ability to work under pressure and manage conflicting demands.
- Positive; work well within a team.
- Excellence: High level of finesse and excellence required in delivery of all tasks.
