About the Role

Working Pattern: 09:00 - 18:00 with 1hr unpaid lunch.

Purpose of Role

The Services Coordinator plays a key role in supporting the Services function by delivering high‑quality administrative, operational, and facilities services.

The role ensures consistent, reliable, and professional support across the corporate environment, contributing to a high‑performance culture and the smooth running of the organisation’s head office.

This position requires exceptional attention to detail, strong customer service skills, excellent punctuality, and the ability to manage multiple priorities in a fast‑paced office setting.

Key Responsibilities

  • Operational & Administrative Support
  • Deliver comprehensive administrative support to the clients Head of Services and the wider department, ensuring efficient and seamless day‑to‑day operations.
  • Manage and triage incoming enquiries across email, telephone, and ticketing platform JIRA, providing timely, accurate, and professional responses in line with established service level agreements.
  • Maintain and continuously update departmental documentation, knowledge bases, and reference materials to ensure accuracy, relevance, and compliance with corporate standards.
  • Facilities & Office Coordination
  • Support the effective operation of all Head Office activities, including meeting room coordination, maintenance liaison, visitor services, booking inductions and general operations.
  • Produce, issue, and manage employee security passes—both scheduled and ad hoc—while ensuring rigorous record‑keeping and adherence to security protocols.
  • Oversee office supply inventory, ensuring appropriate stock levels and managing procurement processes to support cost‑efficient replenishment.
  • Financial & Procurement Administration
  • Assist with core financial administration including invoice coding, purchase order creation, and internal cross‑charging activities.
  • Ensure all financial tasks are delivered in accordance with corporate governance requirements, internal controls, and audit standards.
  • Event & Hospitality Support
  • Provide logistical and administrative support for internal and external corporate events, including booking and coordination of catering, hospitality staffing, security arrangements, and event‑related services.
  • Governance & Compliance
  • Uphold standards and policies relating to data security, confidentiality, service performance, and process integrity.
  • Maintain accurate and compliant logs using approved corporate systems, JIRA ticketing and incident‑tracking tools.
  • Daily report completion.
  • Other Responsibilities
  • Prepare high‑quality reports, presentations, and documentation for client senior leadership as required.
  • Support vehicle and travel bookings and onboarding processes, ensuring records and documentation remain current and accurate.
  • Undertake additional tasks and project support as required to facilitate the effective operation of services.
  • Performance Expectations
  • Respond to internal requests within a 30‑minute timeframe.
  • Maintain no more than five unread emails at any given time to support operational responsiveness and service consistency.
  • Consistently deliver high‑quality, accurate work with minimal oversight.
