About The Role: Reception & Facilities Support Assistant (Part Time - 21 Hours) Contracted shift pattern: Monday 08:00 - 12:00, Tuesday 08:00 - 17:30, Thursday 08:00 - 17:30.
We are looking for a professional, highly organised and tech savvy Reception & Facilities Support Assistant (Part Time), who thrives working in a fast paced and diverse day to day environment. The successful candidate will join our team at OCS and play a key role in ensuring the smooth operation of our office by handling a range of reception and facilities duties, including managing a complex parking booking system for multiple car parks, managing several email inboxes, including actioning, responding to and closing off queries. You will manage and support meeting room bookings, issue access passes, manage incoming and outgoing post, and act as the main point of contact for any visitors to the site.
Key Responsibilities:
- Ensuring the car parking booking system is accurately maintained through the booking app and Excel spreadsheets.
- Efficiently managing a high volume of emails through multiple inboxes, ensuring queries are actioned and responded to efficiently.
- Ensure meeting rooms are prepared and maintained and manage office supplies and refreshments.
- Handle reception inquiries on our busy reception desk, including greeting guests, managing bookings, issuing passes and coordinating visitor parking.
- Liaising with a varied range of teams across the business, including the broader Facilities teams, Estates teams, Cleaning staff, contractors and a range of head office corporate functions.
- Maintain a tidy and organised office environment, monitor office equipment, and assist with general office upkeep.
- Support new starters with necessary office access and assist with general office tasks as required.
To be successful in this role, you will ideally have:
- Experience of working in a fast paced Facilities, Front of House or Personal Assistant / Executive Assistant role, which would include managing multiple priorities and balancing concurrent tasks.
- Excellent communication skills: Ability to interact professionally with staff, visitors, and suppliers, both verbally and through written communications.
- Organisational skills: Ability to manage a high volume of tasks efficiently and ensure deadlines are met, with strong attention to detail.
- IT proficiency: Comfortable using Microsoft Office 365 and office management software, along with an aptitude to learn new systems, software and skills.
- Time management: Effectively prioritise tasks to ensure the smooth running of the office.
- Problem-solving skills: Ability to resolve issues proactively.
- Customer service: A friendly, welcoming attitude and a strong commitment to delivering exceptional service.
- Team player: Willingness to work as part of a small, collaborative team to meet office needs.
This is a part time role, working 21 hours. However, there may be the occasional requirement for flexibility in this to cover absences and business needs.
