About The Role

Days of Working: Wednesday to Sunday, 08:00am-15:00pm

You will be part of the Resort Security Team which plays a pivotal role in ensuring all staff, guests and company assets are always protected and safe, 24 hours a day.

You will ensure that any issues that arise are dealt with in an appropriate and professional manner, ensuring that all aspects of the Security Department reflect the highest standard of presentation, professionalism and company culture and values.

Providing support to the Security Department you will ensure the daily operation for the Business Reception at the resort is well managed and running smoothly, being the first point of contact for our staff, business visitors, contractors and client guests.

Offering a warm welcome and ensuring everyone is adhering to uniform standards and site security procedures.

You will be responsible for providing outstanding service to both staff and guests.

You will need to gain a general knowledge of the park and its operations to give our staff and guests the best advice and answers to their queries.

  • Provide the highest standard of customer service, ensuring a firm but friendly customer approach.
  • Work with the Security Department Management Team to ensure that all processes and systems are in place and being used to maximum potential.
  • Confidently use and uphold the highest standards of communication in respect of telephone, radio, face-to-face and written interaction with guests, contractors, employees, business visitors and external contacts.
  • Manage the telephone switchboard for the Resort, processing calls and messages as required in a timely and efficient manner, ensuring calls and messages are directed to the correct people.
  • Take ownership of the Business Reception inbox, ensuring all enquiries are responded to or redirected appropriately, professionally and within agreed timescales.
  • Monitor site access through the Business Reception entrance, ensuring all staff, contractors and business visitors have approved identification or have followed the required sign-in procedure.
  • Manage the Contractor and Business Visitor procedures, ensuring the correct processes are consistently followed to maintain compliance with Health & Safety and Profit Protection requirements.
  • Act as Security key holder for the Resort, following all relevant key holding and security procedures.
  • Be responsible for the efficient processing of all internal and external mail for the Resort, including incoming and outgoing mail and special delivery services.
  • Support the acceptance and processing of deliveries for the Resort in an efficient manner, ensuring timely collection by the relevant departments.
  • Maintain accurate and up-to-date records, logs and documentation relating to Business Reception activities, including visitor records, delivery records, key records and other relevant paperwork.
  • Complete daily administrative records and documentation accurately and ensure all paperwork is organised, filed correctly, securely stored and kept up to date.
  • Maintain accurate records relating to staff, contractors and business visitors in accordance with site procedures, company policies and data protection requirements.
  • Prepare, organise and distribute documents, reports, forms and other materials required by the Security Department.
  • Assist with the preparation of reports, spreadsheets and presentations using Microsoft Office applications, including Excel, Outlook and Power Point.
  • Manage the distribution and processing of internal and external correspondence, ensuring information is passed to the appropriate person or department in a timely manner.
  • Maintain adequate supplies of stationery, forms and other Business Reception materials, raising requests for replenishment when required.
  • Ensure Business Reception and associated Service Road areas are kept clean, maintained, organised and appropriately stocked.
  • Complete printing, photocopying, scanning and preparation of materials required within the department.
  • Support the Security Management Team with administrative tasks, including data entry, record keeping, document preparation and information gathering.
  • Maintain confidentiality when handling sensitive staff, visitor, security or business information, in accordance with company policies and data protection requirements.
  • Ensure administrative and operational processes are followed consistently and identify opportunities to improve efficiency and service delivery.
  • Undertake any other reasonable administrative or operational duties as required by the Security Management Team.

Experience and Qualifications Required

  • Up to date ACT Awareness and ACT Security e-learning courses
  • Experience of incident logging, report writing and maintaining accurate operational records
  • Experience of liaising with emergency services or emergency response procedures
  • Knowledge of ETHANE or other structured emergency communication methods (desirable)
  • Proficient in a variety of communications systems including radio and telephone use
  • Proficient in English language with effective verbal and written communication skills required
  • Requires great administrative skills, with experience in the use of Windows operating systems, including but not limited to MS Office and emails
  • Good interpersonal and relationship building skills with the ability to talk to all types of guests and staff
  • High level of motivation, both self and in a team with excellent problem solving and decision-making skills
  • Works collaboratively with management, actively communicating progress and seeking clarification where required
  • Highly reliable and dependable, with a strong commitment to meeting operational standards and expectations
