As our Residential Conveyancing department continues to grow, we are looking for a motivated and organised Conveyancing Secretary to join our team and develop their career with us.
The Role
As a Conveyancing Secretary, you will provide high-quality secretarial and administrative support to our Residential Conveyancing team, helping our fee earners deliver an efficient, professional and client-focused service.
You will support solicitors and conveyancers across a broad range of residential property transactions, including:
- Freehold and leasehold sales and purchases
- Remortgages
- Transfers of equity
- New build transactions
- Shared ownership matters
- Equity release transactions (where applicable)

Key Responsibilities
- Provide comprehensive secretarial and administrative support to fee earners within the Residential Conveyancing department.
- Open, maintain and close client files in accordance with the firm’s procedures.
- Prepare and amend legal documents, correspondence, completion statements and forms from dictation, templates and fee earner instructions.
- Assist with the progression of residential property transactions from instruction through to completion and post-completion.
- Manage solicitors’ and conveyancers’ diaries, arrange appointments and coordinate meetings.
- Liaise professionally with clients, estate agents, mortgage lenders, brokers, developers and other solicitors throughout the conveyancing process.
- Handle telephone enquiries, take accurate messages and provide updates to clients where appropriate.
- Prepare contract packs, issue draft contracts and assist with completion documentation.
- Scan, save and organise documents within the firm’s case management system.
- Maintain accurate records, diary entries and task lists to ensure key dates and deadlines are met.
- Provide general administrative support to ensure the efficient running of the department.
- Work collaboratively with solicitors, conveyancers and colleagues to deliver an outstanding client experience.
About You
We are looking for someone who is organised, proactive and committed to delivering exceptional client care. You will have:
- Previous secretarial or administrative experience, ideally within Residential Conveyancing or a legal environment.
- Experience supporting fee earners with conveyancing files, document preparation and diary management.
- A good understanding of the residential conveyancing process would be advantageous.
- Excellent communication and interpersonal skills, with the ability to build positive relationships with clients and third parties.
- Strong organisational skills, excellent attention to detail and the ability to manage multiple priorities in a fast-paced environment.
- Accurate typing and document production skills.
- A proactive approach and willingness to learn new systems and processes.
- Good working knowledge of Microsoft Office. Experience with legal case management systems would be an advantage.
