Our multi-office Manchester based client are recruiting a Conveyancing Assistant to join a busy residential property team. The successful candidate will support fee earners in managing a varied caseload from instruction to completion, ensuring high standards of client care, accurate file management and compliance with firm procedures and regulatory requirements. This role offers opportunities for development within the property team and involvement in continuous improvement of processes and client service delivery.
Key responsibilities:- Provide administrative and case progression support across residential conveyancing matters including sales, purchases, remortgages and transfers of equity; ensure files progress to key milestones and flag delays to fee earners.
- Open and maintain electronic and paper files, ensure accurate and timely case notes, maintain document checklists and assist with document production including standard correspondence, client questionnaires and completion packs.
- Liaise with clients, estate agents, mortgage lenders and other third parties to obtain instructions, chase outstanding information and provide routine updates in a professional and timely manner.
- Prepare and check pre-completion documentation, assist with completion statements and gather required identity and AML documentation in line with firm procedures; elevate any unusual matters to supervising fee earners.
- Assist with searches, ordering and reviewing standard search results and passing relevant enquiries to fee earners; obtain and log insurance, planning or other relevant documents as required.
- Support submission of documentation to HM Land Registry using the firm's digital processes and assist with postâcompletion registrations and follow up on requisitions on title under supervision.
- Ensure accurate time recording, assist with billing administration and maintain clear audit trails for all file actions to support compliance and quality control requirements.
- Contribute to continuous improvement by suggesting practical improvements to office procedures, templates and use of conveyancing technology; adopt and champion new systems and workflows.
- Provide support and cover for other team members during busy periods and assist in the induction and training of new administrative staff where appropriate.
- Previous experience in residential conveyancing or legal administration within a law firm or conveyancing practice, with solid understanding of the progress of property transactions.
- Familiarity with HM Land Registry procedures and digital submission processes desirable; willingness to learn postâcompletion registration tasks under supervision.
- Experience of preparing basic completion paperwork and dealing with lenders or estate agents is an advantage; strong numeracy and attention to detail are essential.
- Excellent organisational skills with the ability to manage competing priorities, meet deadlines and work methodically to maintain high standards across multiple files.
- Good written and verbal communication skills with a professional telephone manner and the ability to liaise effectively with clients, fee earners and external contacts.
- High level of compliance awareness including familiarity with basic AML and client identity checks or a clear willingness to follow and learn firm procedures.
- Proactive, reliable and solutionsâfocused with a commitment to excellent client service and confidentiality.
- Digital literacy including experience with Microsoft Office and willingness to learn legal case management and conveyancing software; ability to adopt new technology and support process improvements.
