We are seeking an experienced Private Client Paralegal to join our client's Private Client team in Aldgate. The successful candidate will support fee-earners in managing a varied caseload of private client matters, providing high-quality legal and administrative support, proactive case management and excellent client care within a collaborative firm that values technical competence, continuous professional development and high standards.
This role will involve assisting with wills, probate administrations, lasting powers of attorney, trusts, estate administration and related post‑grant matters, as well as client-facing work including client interviews, preparing correspondence and liaising with third parties such as banks, trustees and HMRC. The post offers opportunities for professional development, client relationship building and contributing to process improvements. Hybrid working is available after successful completion of the probationary period.
Key responsibilities- Support fee-earners in the management of a mixed‑complexity caseload of private client matters from initial instruction through to completion, ensuring timely progression, accurate documentation and excellent client service.
- Prepare and review wills, codicils, client care letters, estate administration checklists, probate applications and related documents; draft correspondence and prepare schedules of assets and liabilities.
- Assist with probate and estate administration tasks including obtaining grants of probate, preparing and lodging inheritance tax (IHT) forms, corresponding with HMRC and distributing assets in accordance with client instructions and legal requirements.
- Provide support with lasting powers of attorney (LPA) including preparation of LPA forms, guiding clients through the registration process and liaising with the Office of the Public Guardian as required.
- Undertake client care and AML checks, verify identity and source of funds, maintain audit‑ready file records and ensure compliance with firm and regulatory procedures.
- Liaise with clients, executors, beneficiaries, solicitors, financial institutions and other third parties; manage diaries, arrange meetings and take accurate minutes where required.
- Support fee‑earning and billing processes: prepare fee estimates, record time accurately, assist with invoicing and chase payments in line with firm procedures.
- Contribute to continuous improvement by helping to maintain and develop precedents, checklists and workflows; identify opportunities to streamline processes and enhance client experience.
- Provide supervision and support to more junior paralegals and administrative staff where appropriate; undertake training and share knowledge to foster a supportive team environment.
- At least 12 months experience as a paralegal or legal assistant within a private client or wills and probate team, with demonstrable experience of probate administrations, LPAs, wills and trusts.
- Strong knowledge of probate procedures, IHT forms and requirements, LPA processes and basic trust administration; accuracy in preparing and reviewing legal documentation.
- Excellent client care and communication skills with the ability to manage expectations, deal sensitively with vulnerable clients and maintain professional relationships with clients and third parties.
- Practical experience of AML, ID verification and maintaining compliant, audit‑ready files; a meticulous approach to record‑keeping and risk management.
- Organised and able to manage competing priorities and caseloads; strong attention to detail and the ability to work under supervision to meet deadlines.
- Ability to work collaboratively within a team, support colleagues and contribute to a positive working culture.
- Proficiency with case management systems and standard office IT applications; willingness to adopt and help embed digital workflows and precedents.
- Relevant legal qualification or paralegal certification desirable; willingness to pursue further CPD and professional development within private client practice.
