Role Summary: The Operations Coordinator plays a pivotal role to ensure the company delivers exceptional services to our clients from start to finish. The job holder will take day-to-day administration responsibility for the field engineering teams to ensure operations run smoothly. The role requires the Coordinator to provide daily support to the offsite engineering team reporting to the Fuel Division manager.
Key Responsibilities:
- Maintaining the planning tool for field engineers.
- Liaising with clients to book in work, provide updates, and general client support and communications.
- Preparation of Engineers Job pack accurately and fully completed – Phase 2 of Job pack creation (RAMs and methodology).
- Preparation of invoice measurement forms to provide to the Division Manager (add in “& finance”).
- Managing & booking Subcontractors.
- Liaising between Engineers and Division Manager.
- Ordering plant, parts, and consumables and then processing purchase orders.
- Completion of RAMs (generic/urgent) with support of Line Manager/Compliance Manager.
- Ensuring daily update email sent.
- Liaison with sales re job handovers.
- Recording expenditure sheet on all jobs over £10,000.
- Liaison with compliance for team training (e.g., AirDat).
- Completion of forms (defects/near misses/incidents) if required.
- Cover for manager if away.

Qualifications and Training:
- Educated to GCSE level, incl. Maths & English (min. Grade 4, previously Grade C) (essential).
- IT literate (Microsoft Office) (essential).
Experience:
- Demonstrable administrative experience in a demanding work environment (essential).
- Strong Microsoft Office experience (Word, Excel) (essential).
- Dealing with customers (essential).
- Project management experience (essential).
Qualities and Behaviours:
- Confidence in dealing with customers (essential).
- Confident and friendly telephone manner (essential).
- Good organisational skills & attention to detail (essential).
- Approachable, with a helpful disposition (essential).
