Position Overview As an Events Coordinator at Makita UK, you will be responsible for the planning, coordination, and execution of various corporate and promotional events. Your role will involve working closely with internal teams and external suppliers to ensure the success of each event. What you will be doing: Organisation & Management of Makita UK Events Events you shall manage are sales meetings, sales conference, dealer product launch events with 15 to 250 delegates. · Client Liaison and Event Planning – Liaise with internal clients to understand their event requirements and goals. Create detailed proposals for each event, including timelines, venues, suppliers, staffing, and budgets. · Planning & Creation of Innovative Events – Develop creative and innovative event concepts to enhance event experiences and achieve strategic goals. · Accommodation & Venue Management – Book and inspect hotel accommodations, meeting facilities, banquet and catering functions, and other spaces necessary for events. · Proposal Review – Review venue proposals and associated costs. · Reporting – Report to Marketing Manager regarding venue options & costs. · Contract Administration – Check & administer venue contracts for company events. · Customer Communications – Manage communications for customer invitations & replies/confirmations to Makita UK customers. · Internal Communications – Communicate information to colleagues for company meetings and sales conferences. · Site Visits – Visit external exhibitions to review requirements and opportunities. · Promotion and Publicity – Collaborate with the sales and marketing teams to publicise and promote the events. Manage event promotions through various channels to ensure high attendance and engagement. · Pre-Event Preparation and Coordination – Organize guest speakers, delegate packs, and all other pre-event materials. Ensure all event-related tasks are on track and completed within the given timeframes. · On-Site Event Management – Oversee event logistics and coordination on the day of the event to ensure everything runs smoothly. Manage suppliers, handle client queries, and troubleshoot any last-minute issues. Supervise any onsite staff or contractors, providing full briefings as necessary. · Safety, Compliance, and Legal Obligations – Organize necessary facilities such as parking, security, first aid, and hospitality. · Post-Event Evaluation – Conduct post-event evaluations to assess the success of the event. Gather feedback and insights to improve future events and inform best practices. · Event Breakdown and Venue Clearance – Oversee the dismantling and removal of the event. Ensuring that the venue is cleared efficiently, and all equipment is returned.
