Major Recruitment Oldbury are delighted to be recruiting for our corporate client on the outskirts of Birmingham City Centre who are seeking an experienced and professional PA to cover maternity leave from April 2025 to May 2026. Hours of work are Monday to Friday 9am to 5pm with a thirty minute lunch and you will be reporting and supporting the company CEO.
Duties and tasks will include:
- To provide high level, confidential personal assistance and administrative support to the Chief Executive.
- To provide personal assistance and administrative support to the Trustees and members of the Executive Team on an occasional basis as required. This will also include sending out induction packs to new board members and all relevant paperwork and forms for statutory checks to be completed.
- To receive telephone calls and correspondence, including emails, responding, directing, or flagging them as appropriate, responding to routine questions and requests, referring high level managerial requests to the CEO or other managers as appropriate.
- To establish and maintain relevant filing and information systems, including a register of corporate entertainment invites refused and accepted.
- To administer meetings involving scheduling meeting dates, preparing agendas, circulating supporting papers, preparing reports and presentations, preparing minutes, and following up on actions, within agreed timescales and deadlines.
- To effectively manage, book and forward plan the Chief Executive's diary and travel arrangements including researching travel times and options in order to ensure the most effective use of his/her time.
Candidates welcome to apply for the role must be able to commit to a twelve month contract and have the following:
- Proven experience of working with and providing business support to a senior executive.
- Recent PA/secretarial experience in a similar role operating at an Executive level.
- Strong time management skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.), social media platforms and the use of online systems - specifically including experience in administering web content management systems.
- Communicates with confidence, credibility, and tact at all times.
