We’re looking for a proactive and highly organised Executive Assistant to join a fast-paced, globally distributed team. You’ll play a crucial role in supporting senior leadership and ensuring operations run smoothly across various time zones. This is a fully remote contract role with an immediate start.
Key Responsibilities
- Coordinate executive and employee travel with our travel agent and internal travel manager
- Book hotel rooms for small team meetings and events
- Arrange dinner reservations and small gatherings (10–15 attendees)
- Schedule and coordinate team meetings across multiple time zones
- Take clear and concise notes during team meetings
- Assist with presentation preparation and formatting (slide clean-up)
- Manage calendars and book meetings for two busy executives
- Submit expense reports using SAP Concur
Requirements
- 4–5 years of experience as an Executive Assistant, supporting senior-level executives
- Proven experience using SAP Concur for travel bookings and expense submissions
- Confident using Google Docs and Google Calendar
- Excellent communication, organisational, and time management skills
- Experience supporting global teams and flexibility to work with a US-based SVP
