Assistant Company Secretary / Board Secretary
The Opportunity
A leading financial services organisation is seeking an Assistant Company Secretary / Board Secretary to join its Governance team. This role will play a key part in supporting the board and executive governance framework, ensuring the smooth coordination of meetings, board papers, actions, and governance processes.

Key Responsibilities
- Coordinate and manage the end-to-end board and committee meeting cycle.
- Prepare, collate and distribute board and committee papers.
- Liaise with senior stakeholders across the business to gather and review meeting materials.
- Manage meeting logistics, schedules and governance calendars.
- Upload and administer board documentation through the organisation's board portal platform.
- Attend board, committee and executive meetings and produce accurate minutes.
- Maintain action logs and ensure timely follow-up on outstanding matters.
- Support the delivery of corporate governance and secretariat activities.
- Assist with governance reporting and record-keeping requirements.
- Work closely with senior governance and company secretarial colleagues to ensure best practice governance standards are maintained.
Skills & Experience
- Previous experience in a Company Secretariat, Corporate Governance, Board Support or Board Secretary position.
- Strong minute-taking experience, ideally at board or committee level.
- Excellent organisational skills with the ability to manage multiple deadlines simultaneously.
- Experience coordinating board packs and meeting documentation.
- Strong stakeholder management skills and confidence working with senior executives.
- High attention to detail and strong written communication skills.
- Ability to work independently and manage priorities in a fast-paced environment.
- Experience using board portal software such as Diligent would be advantageous.
Preferred Qualifications
- Part-qualified or qualified governance professional (CGI/ICSA or equivalent), or an interest in pursuing a professional governance qualification.
- Experience within financial services, banking, asset management or a regulated environment is desirable
