Administrator Fulwood Barracks, Preston | £28,500 | Full Time, Permanent Opportunity An opportunity is available for an organised and proactive Administrator to join an Operations Team based at Fulwood Barracks in Preston, supporting the delivery of services across multiple sites throughout the North West. This is a varied role with plenty of ownership, providing day-to-day administrative support to a team of operational colleagues while acting as a key point of contact for enquiries, works, contractors, documentation and wider operational processes. The position is fully office-based at Fulwood Barracks, with occasional travel to sites in Chester and Blackpool, typically around once a month or where business requirements dictate. The Role Working closely with the Operations Team, you’ll help keep the day-to-day running of the operation organised and on track. You’ll be involved across a broad range of administrative and operational activity, from coordinating appointments and meetings through to supporting planned and reactive works, purchase orders, project documentation and security vetting. A key part of the role will also involve supporting operational processes through Maximo, making this particularly suited to someone who has worked within a maintenance, facilities, engineering or asset management environment. Key Responsibilities Provide day-to-day administrative support to a team of seven operational colleagues Act as a first point of contact for telephone, digital and general administrative enquiries Coordinate appointments, meetings, events and accommodation requirements Prepare reports, meeting agendas, minutes and action logs Maintain accurate electronic and paper-based filing systems and documentation Support the coordination of planned and reactive works with contractors Raise and process purchase orders Create project packs and maintain supporting documentation Support security vetting and BPSS clearance processes Liaise with Authorised Persons to coordinate permit bookings Provide wider administrative support across the operation and other departments when required Use Maximo to support the progression, administration and closure of operational work orders    What We're Looking For You’ll have previous experience in an administrative role, ideally within a busy operational, maintenance, facilities, engineering or asset management environment. Experience using Maximo would be advantageous, although experience with a similar maintenance or asset management system will also be considered. The ability to manage records, purchase orders and work orders within a system is more important than experience with one specific platform. You’ll need to be highly organised, comfortable managing competing priorities and have strong attention to detail. Good communication skills are essential, along with the confidence to deal with colleagues, contractors and wider stakeholders in a professional and customer-focused manner. You’ll also need: Good working knowledge of Microsoft Office, particularly Word, Excel and Outlook Previous relevant administration experience Strong organisational and communication skills A proactive and adaptable approach A full UK driving licence Ability to successfully obtain BPSS Clearance  What's on Offer Full-time, permanent position 5 hours per week, Monday to Friday 8:00am – 4:30pm working hours Based at Fulwood Barracks, Preston Occasional travel to Chester and Blackpool Opportunity to become a key member of a close-knit operational team Exposure to technical, maintenance and operational processes within a large-scale defence environment
