Opportunity
We're looking for an organised and proactive Assurance Coordinator to support a new seven-year repairs, maintenance and projects contract at DSTL Porton Down. This is a great opportunity to play an important part in ensuring maintenance activities, contractors and compliance requirements are properly coordinated, recorded and delivered to the required standards. You'll work closely with technical compliance leads, operational teams, specialist contractors and the customer, helping to maintain a safe, compliant and well-managed estate. If you enjoy bringing people together, keeping things organised and making sure important actions don't get missed, this could be a really good fit.
The Role
As Assurance Coordinator, you'll support the delivery of the contract's assurance and compliance framework, helping ensure statutory obligations, contractual requirements and internal standards are consistently met. You'll coordinate inspections, certifications, audits and remedial actions, maintaining accurate records across CAFM and other business systems. You'll also help organise contractor activities, arrange site access and liaise with a range of stakeholders to ensure works are planned and completed efficiently. Working alongside Facilities Managers, Built Estate Managers, Senior Authorised Persons and the wider operational team, you'll help identify compliance risks, track outstanding actions and support continuous improvement across the service.
Responsibilities
Coordinate assurance and compliance activities, including inspections, certifications, audits and remedial actions, ensuring actions are tracked and closed within agreed timescales.
Maintain accurate, up-to-date and auditable records across CAFM and other business systems.
Arrange maintenance and construction works, coordinate subcontractors and manage site access requirements.
Liaise with building custodians, contractors, operational teams, Facilities Managers, Built Estate Managers, Senior Authorised Persons and the customer.
Support statutory and contractual compliance, including relevant technical documentation and reporting requirements.
Assist with internal and external audits, JSP 375 Safe Systems of Work and Common Data Environment (CDE) requirements.
Identify potential compliance risks, recurring issues and opportunities for improvement, supporting appropriate corrective and preventative actions.
Help ensure contractor activities are appropriately coordinated and delivered in line with relevant Health & Safety requirements and site procedures.
What We're Looking For
Previous administration or coordination experience within a busy, customer-focused environment.
Experience coordinating contractors and subcontractors within a maintenance, construction or similar technical environment.
Strong organisational skills, with the ability to manage competing priorities, maintain accurate records and follow actions through to completion.
Confident communication and stakeholder management skills, with the ability to build positive working relationships across operational teams, contractors and customers.
A good understanding of Health & Safety requirements, including COSHH and RIDDOR.
An SMTS qualification, or a willingness to work towards and obtain one.
Experience working with mechanical and electrical assets in a commercial or industrial environment would be beneficial, as would a relevant Health & Safety qualification or professional membership.
Previous MOD experience, existing Security Check (SC) clearance, or experience working with Authorised Persons and Responsible Persons across compliance systems such as Legionella (L8) or asbestos would also be advantageous.
Please note: Applicants must be UK nationals, aged 18 or over, and able to obtain and maintain Security Check (SC) clearance.
