The Role: Events Coordinator

The Restaurant: Madison

The Location: 1 New Change, London, EC4M 9AF

The Salary: Up to £17.00 per hour

The Contract: 9am – 5pm Monday to Friday, 40 hours contract. You may be required to work the occasional evenings and weekends, as per business needs.

A bit about what you will be doing:

We're looking for an organised and hospitality-driven Events Coordinator to join our team. This role sits at the heart of our events business. Once our Sales Team has secured an event booking, you'll take ownership of the client journey - working closely with them to plan every detail, ensuring a seamless experience from confirmation through to handover. You'll become the client's main point of contact, managing all event logistics, producing detailed function sheets and working closely with our Operations team to ensure every event is delivered to the highest standard. Key Responsibilities:

  • Client Planning
    • Take ownership of confirmed bookings following handover from the Sales Team.
    • Build strong relationships with clients and guide them through the planning process.
    • Respond to all clients in a timely manner.
    • Confirm all event requirements, including menus, drinks packages, guest numbers, timings, room layouts and any special requests.
    • Advise clients on recommendations and enhancements to help create a successful event.
    • Manage amendments throughout the planning process and ensure all agreed changes are documented on booking platforms.
  • Event Coordination
    • Produce accurate event documentation, including; function sheets, menus, place cards and allergy cards for all events.
    • Ensure all event information is recorded within the booking system and kept up to date.
    • Monitor planning timelines, ensuring key deadlines are met by both clients and internal teams.
    • Coordinate any external suppliers or entertainment where required.
    • Ensure deposits, balances and any outstanding information are received before the event.
  • Operational Handover
    • Take full ownership of operational handover, including leading the daily on-site briefing.
    • Prepare a clear and comprehensive handover for the Operations team once planning is complete.
    • Communicate all event requirements accurately to venue management, kitchen and bar teams.
    • Highlight any VIP guests, dietary requirements, accessibility needs or other important information.
    • Support the Operations team with any planning queries prior to the event.
  • Administration
    • Maintain accurate client records and event files.
    • Produce reports and planning documentation as required.
    • Ensure all correspondence and event records are organised and accessible.
    • Support continuous improvements to planning processes and documentation.

About You:

You'll be highly organised, proactive and passionate about delivering exceptional hospitality experiences. You enjoy building relationships, managing multiple priorities and ensuring every detail is considered before an event takes place.

Skills & Experience:

  • Previous experience coordinating events within hospitality, restaurants, bars or venues is preferred.
  • Excellent organisational skills.
  • Strong communication and relationship-building abilities.
  • High level of attention to detail.
  • Ability to manage multiple events simultaneously.
  • Confident using Microsoft Office.
  • Experience with Open Table is preferred.
  • Professional, calm and solutions-focused under pressure.

Success in the Role:

You'll be successful if every confirmed booking is professionally planned, clients feel informed and supported throughout the process, and the Operations team receives clear, accurate information that enables them to deliver outstanding events with confidence.
