Our client is a UK based owner, developer, and operator of urban commercial real estate. We’re looking for a proactive and detail-oriented Team Personal Assistant to support senior managers across the business. This is a varied role that combines high-level PA support with front-of-house and facilities responsibilities, requiring strong organisational skills, professionalism, and a hands-on approach.

Working closely with multiple department heads, notably Asset Management, you’ll play a key role in ensuring the smooth running of day-to-day operations while helping deliver a high-quality workplace experience.

Key Responsibilities:

  • Diary & Travel Coordination: Manage complex diaries, book travel, schedule meetings, and coordinate conference calls/video meetings. Provide full administrative support to a range of senior stakeholders.
  • Meeting & Event Support: Organise internal and external meetings, agendas, and action tracking. Assist with office-based events and socials, including catering and setup.
  • Correspondence & Documentation: Draft and format emails, reports, presentations, and correspondence. Ensure all documents are professionally prepared and filed.
  • Office Administration: Handle incoming/outgoing post, manage couriers, keys, lockers, and general supplies. Process expenses and raise invoice paperwork as required. Monitor and replenish consumables and stationery stock.
  • Facilities Support: Liaise with external contractors and suppliers (cleaning, plant maintenance, etc.). Oversee building access cards, lighting, cleanliness, and daily workplace standards. Coordinate with the on-site maintenance team to manage faults and repairs.
  • Health & Safety: Conduct fire safety inductions, manage the fire logbook and alarm tests. Schedule fire extinguisher checks and maintain first aid kits/training compliance. Ensure all statutory compliance documentation is current and recorded.
  • Project & Ad Hoc Support: Lead or assist on small projects and workplace initiatives as required.
  • Internal Communication: Screen calls and messages, and act as a key point of contact across departments.

What We’re Looking For:

Essential: Proven experience in a business support, PA, or team assistant role. Strong Microsoft Office skills, particularly PowerPoint. Highly organised with excellent time management. Confident working across multiple teams with competing priorities.

Desirable: Experience within a property or real estate environment. Background in facilities, front-of-house, or office management roles.
