This is a varied, fast-paced role that combines high-level PA and administrative support with front-of-house, compliance, and office management responsibilities. You’ll work closely with two experienced PAs, supporting a team of 18 Chartered Surveyors (across Industrial & Land and Office & Living transactions), in a professional yet relaxed and team-driven environment.

Key Responsibilities

Diary & Travel Coordination

  • Manage complex diaries and coordinate meetings, conference calls, and travel arrangements.
  • Provide full administrative support to senior stakeholders and equity partners.

Meeting & Event Support

  • Cover the Office & Living Team PA role on Fridays.
  • Format and circulate the fortnightly team meeting presentation.
  • Organise internal and external meetings, agendas, catering, and socials.

Correspondence & Documentation

  • Draft and format emails, reports, and presentations.
  • Assist in researching living property transactions (e.g., Rightmove data).
  • Maintain accurate filing systems and ensure documents are professionally presented.

Office Administration

  • Manage meeting rooms, greet guests, and provide refreshments.
  • Handle incoming and outgoing post, couriers, subscriptions, and office supplies.
  • Process expenses and raise invoice paperwork as required.
  • Take ownership of around five key office subscriptions.

Compliance Support

  • Support the COO with Anti-Money Laundering (AML) administration and compliance documentation.
  • Help maintain accurate records to meet regulatory requirements.

Facilities Support

  • Liaise with contractors and suppliers to maintain a high standard office environment.
  • Oversee building access, lighting, cleanliness, and day-to-day workplace standards.

Health & Safety

  • Support fire safety and first aid compliance including inductions, logs, and maintenance checks.

Projects & Ad Hoc Support

  • Lead or assist on small projects, workplace initiatives, and internal communications.
  • Update the company website’s media wall and assist with marketing materials.

What We’re Looking For

  • Proven experience in a PA, Team Assistant, or business support role.
  • Excellent organisational skills and ability to manage multiple priorities.
  • High attention to detail and accuracy in all tasks.
  • Confident communicator with a proactive, flexible, and positive attitude.
  • Strong Microsoft Office skills, particularly PowerPoint.
  • Comfortable working in a busy, team-oriented environment.
  • Experience within property, real estate, or professional services.
  • Knowledge of facilities, compliance, or front-of-house operations.

The Person

  • Professional, approachable, and a genuine team player.
  • Enjoys a varied role and can switch between tasks with ease.
  • Calm under pressure, with a sense of humour and a “can-do” attitude.
