We are looking for a dedicated Office Administrator to provide essential support to our Managing Director, project teams, and operations. This hands-on role combines travel coordination (for frequent site visits, dry-docks and supplier meetings) with core office administration in our fast-paced, project-driven environment.
Key Responsibilities
- Coordinate and book all business travel: flights, hotels, ferries, rail, ground transport, visas, and full itineraries (domestic and international).
- Manage last-minute changes, cancellations, and expense reconciliation/tracking.
- Handle general administrative tasks: emails, phone/reception duties, correspondence, filing, data entry, invoice processing, purchase orders, and record-keeping.
- Support project logistics: scheduling, document preparation, supplier coordination, and basic reporting.
- Maintain office operations: ordering supplies, meeting prep, calendar/diary management, and ad-hoc support.
- Assist with compliance/paperwork related to marine projects (e.g., certifications, timesheets).
We are looking for proven admin experience, ideally including corporate/business travel booking or executive support. Excellent organisational skills, attention to detail, and ability to thrive under tight deadlines. Proficiency in Microsoft Office (Outlook, Excel, Word) and comfort with booking tools/portals. Strong communication, professionalism, and discretion (handling sensitive project/client details). Reliable team player with a proactive attitude. Marine, construction, or project-based industry experience is a plus but not required.
