About the Role
We are seeking a proactive and experienced facilities‑focused Workplace Host to join our team. This pivotal role ensures the smooth operation of our workplace environments across London, Manchester, and Dublin. The ideal candidate will have a strong background in facilities management, exceptional organisational skills, and a passion for delivering exceptional service.
As the first point of contact for all facilities‑related matters, you will be responsible for managing daily operations, ensuring compliance with legal and safety standards, and maintaining a safe, efficient, and welcoming workplace for all employees and visitors alike.
The purpose of the role is to lead and support day‑to‑day FM operations across multiple sites. Ensure legal, health & safety, and compliance standards are met. Create a safe, efficient, and positive workplace environment for colleagues and visitors.
Main Responsibilities
- Serve as the first point of contact for FM matters across London, Manchester, and Dublin.
- Ensure all employees complete mandatory training (e.g. Fire Warden, First Aid legal compliance).
- Respond promptly to emergencies such as fire evacuations, leaks, power outages, and IT disruptions.
- Manage relationships with FM contractors and service vendors.
- Track FM budgets, report variances, and support cost‑efficiency initiatives.
- Monitor contractor compliance with building policies and health and safety regulations.
- Ensure timely completion of all legal and compliance‑related maintenance (e.g., PAT testing, fire safety, legionella control).
- Oversee essential workplace services including reception, security, maintenance, AV, mail, courier, cleaning, catering, waste, and recycling.
- Act as a key Health & Safety representative for the business.
- Coordinate Planned Preventative Maintenance (PPM) across all sites.
- Support and promote sustainability initiatives (e.g. waste reduction, recycling, energy‑saving).
- Raise purchase orders for both reactive and planned maintenance work.
- Provide weekly FM updates to studio leads.
- Review vendor performance and escalate any concerns.
- Ensure all FM‑related equipment and supplies meet health and safety standards.
About You
The ideal candidate will have:
- Proven experience in facilities management or a similar role.
- Strong understanding of health, safety, and compliance requirements.
- Excellent communication and interpersonal skills.
- Ability to manage multiple contractors and stakeholders effectively.
- Proactive, solution‑oriented mindset with strong organisational skills.
- Experience with budget tracking and procurement systems (e.g., SAP).
- A customer‑focused approach and ability to perform well under pressure.
