About The Role

We are seeking an experienced and proactive Office Manager to oversee the day‑to‑day operations of our London office and ensure a safe, efficient, and engaging workplace environment. The role covers facilities management, office administration, vendor management, and event coordination, with a strong emphasis on employee experience and operational excellence. The Office Manager will report to the Human Capital Head (Lisbon) and work closely with the Head of Business Development (London) and other senior stakeholders.

Main Responsibilities will include:

  • Oversee daily operations of the London office, ensuring a safe, compliant, and well‑functioning workplace.
  • Ensure compliance with UK health, safety, and workplace regulations, coordinating inspections and corrective actions as required.
  • Manage housekeeping, catering, and other essential office services, ensuring appropriate staffing levels and service quality.
  • Coordinate planned and reactive maintenance activities to minimise disruption to business operations.
  • Act as the primary on‑site point of contact for all facilities, workplace, and office‑related matters.
  • Manage relationships with local service providers and contractors, ensuring services are delivered to agreed standards.
  • Oversee the full vendor lifecycle, including sourcing, onboarding, performance monitoring, invoicing, and periodic service reviews.
  • Control office‑related operational costs and support budget tracking as required.
  • Provide executive and administrative support to the London Head of Business Development and other senior leaders as needed.
  • Manage logistics for meetings, visitors, and internal or external events hosted in the London office.
  • Support Human Capital initiatives, including employee engagement activities, training sessions, CSR events, and onboarding support.
  • Collaborate closely with global teams to ensure alignment with client workplace standards and policies.
  • Contribute to a positive, inclusive, and connected office culture that promotes employee wellbeing and engagement.

About You

  • Proven experience in office management, workplace operations, or facilities management within a UK corporate environment.
  • Strong working knowledge of UK health and safety and workplace compliance requirements.
  • Experience providing executive or senior‑level administrative support.
  • Demonstrated ability to manage suppliers and service providers, including performance and cost oversight.
  • Strong organisational skills with the ability to manage multiple priorities effectively.
  • Excellent communication and interpersonal skills, with confidence in engaging stakeholders at all levels.
  • A proactive, solutions‑focused mindset with strong problem‑solving capabilities.
  • Experience supervising or coordinating support staff or service partners.
  • A people‑centric, empathetic approach with a strong focus on employee experience.
