About The Role
We are seeking a highly organised, detail-oriented, and people-focused Workplace Host to join our team. This role is ideal for someone with strong administrative skills and a proactive approach to workplace coordination. As the first point of contact for educational and administrative support, you will play a key role in ensuring a smooth and engaging experience for learners, trainers, and visitors. You will support the day-to-day operations of the training environment, manage learning resources, and provide high-quality reception duties and administrative assistance to the wider team.
Purpose of the Role
- Support day-to-day operations, including a variety of administrative and operational tasks.
- Carry out front-of-house duties at the reception desk.
- Provide administrative and operational support where required.
- Create a welcoming and great working environment for our visitors and colleagues.
Main Responsibilities
- Serve as the main point of contact for resolving day-to-day issues.
- Receive and welcome all visitors and clients at reception in a professional and friendly manner.
- Assist the Facilities Coordinators and Regional Facilities Manager in supporting the general functioning of the portfolio.
- Provide accurate information in person and via phone/email to stakeholders regarding the environment.
- Support the mail room function (occasional cover as needed, not expected to be a regular duty).
- Participate in health and safety and supply chain auditing.
- Take accountability for the physical reception area, ensuring it is tidy and presentable.
- Support meeting room bookings including setup and technology support (in collaboration with IT).
- Assist the Regional Facilities Manager and wider FM team with administrative requirements.
- Process and report on purchase orders and invoices.
- Ensure vendors are managed effectively to maintain cleaning, catering, and general office standards.
- Manage local subcontractors and liaise with building management for both planned and reactive maintenance works.
- Liaise with building management and landlords as needed.
- Adopt a proactive approach to all duties and be flexible in responding to ad hoc requests.
- Provide administrative support including printing, filing, and preparing training materials.
