About the Role

In this role, you will be responsible for leading the planning, governance, and delivery of mobilisation programmes for newly awarded contracts across the UK & Europe, the Americas, the Middle East, and APAC. You will ensure that all contractual and internal mobilisation deliverables are fully understood, accurately reflected in tender submissions, and executed to a high standard following award in accordance with Macro processes. You will oversee activities from contract award through to Go Live, ensuring all mobilisation activities are completed and that a clear transition plan is developed. You will also ensure a seamless handover to Operations, effective cost management, and protection of anticipated contract margins.

The key outcomes of the role:

  • Delivery of comprehensive mobilisation programmes that accurately reflect all contractual and internal deliverables.
  • Governed, on-time, and on-budget delivery of mobilisations, re-mobilisations, de-mobilisations, and due diligence projects, with contract margins maintained or improved.
  • Structured handover to Operations with all mobilisation activities completed and clear visibility of outstanding actions, risks, and opportunities.
  • High-quality bid support, including mobilisation timelines, deliverable validation, and assurance that tender responses reflect the required mobilisation scope.

Key responsibilities:

  • Mobilisation Delivery and Governance: Lead end-to-end mobilisation programmes, ensuring robust governance, milestone tracking, and adherence to contractual, statutory, and internal requirements. Develop and maintain integrated mobilisation plans covering all workstreams, including operations, Health & Safety, supply chain, finance, HR, IT/CAFM, compliance, asset validation, and communications. Ensure mobilisation activities are delivered in line with agreed plans, with all documentation completed, version-controlled, and stored in accordance with Macro standards. Establish and manage a clear reporting cadence, including progress updates, risks and opportunities, client communications, and internal governance reviews. Maintain and optimise contract margin performance through effective cost control, risk management, and proactive issue resolution.
  • Bid Support: Review tender documentation to identify mobilisation deliverables, risks, assumptions, and resource requirements. Provide the Bid team with accurate mobilisation timelines, cost inputs, and deliverability assessments. Validate that bid responses fully reflect the required mobilisation scope and operational model.
  • Client and Stakeholder Engagement: Build and maintain strong relationships with client CRE leadership and site teams, ensuring transparent communication and alignment throughout mobilisation and transition. Represent the mobilisation function as a Subject Matter Expert in operational, technical, and service delivery discussions. Provide clear, timely reporting, meeting outputs, and escalation management to internal and client stakeholders.
  • Operational Readiness: Coordinate cross-functional workstreams to ensure full operational readiness at Go Live, including staffing, training, systems, supply chain, commercial and compliance requirements. Ensure all statutory, regulatory, and contractual obligations are identified and embedded within mobilisation plans. Oversee the setup and configuration of CAFM/CMMS systems, including asset data, PPM schedules, SLAs, KPIs, and reporting requirements. Ensure asset validation, condition surveys, and data capture are completed to support accurate operational planning and pricing. Deliver a structured handover to Operations, including transition plans, risk registers, and stabilisation support where required. Ensure site teams are fully trained, qualified, and equipped with the necessary documentation and systems access.

About You

Essential Qualifications: Bachelor’s degree; Relevant experience in the Facilities Management (FM) industry.

Competencies / Behaviors: Proven track record of leading multi-site and cross-border FM services or delivering project management and mobilisation within complex environments. Demonstrated ability to build and maintain effective relationships with a wide range of stakeholders at all levels, both internally and externally, and to achieve results through others. Strong understanding of process delivery steps for both Hard and Soft FM services, including the systems that support their execution. Appreciation of the legal framework governing FM contracts across regions. Experience managing P&Ls and delivering against budgets, with strong commercial awareness. Working knowledge of CAFM systems, including asset loading and the generation of Planned Preventative Maintenance (PPM) schedules. Understanding of ISO standards, industry best practices, assurance processes, and audit requirements. Health and Safety management qualification, with a strong appreciation of compliance requirements across different regions of the business.

Technical Knowledge and Skills: Strong programme management and organisational capability; highly detail-oriented and process-driven. Ability to identify operational, programme, and financial risks and opportunities, with appropriate escalation and mitigation. Flexible and solutions-oriented, with the ability to respond to change, solve problems, and operate both strategically and tactically to achieve business and client objectives. Excellent communication skills, with the ability to engage effectively at all levels, both internally and externally. Strong understanding of FM maintenance and management systems, operational platforms, and their application in service delivery. Knowledge of engineering services and their application to asset management systems, operational delivery models, and workflows. Commercial and financial acumen, including oversight of pricing models, resource models, supply chain costs, systems and helpdesk cost models, and mobilisation costs. Ideally, in-depth knowledge, experience, and certification in Project Management (PRINCE2, PMI, etc.) and Change Management (Prosci or LaMarsh preferred). Operational proficiency in CMMS, CAFM, and BMS systems, programme management software, and Microsoft Office applications, including PowerPoint, Visio, and Outlook.
