About The Role

In this role, you will support the overall bid and solutions team with desktop publishing services to design and format bid responses and presentations, and developing infographics, that align with Macro’s brand guidelines. You will be the custodian of the Macro brand guidelines across the overall bid team, supporting the wider business where required. This includes capturing all new bid content and infographics within the bid content library (aftercare), and recording and sharing lessons learned and best practice. This hybrid position involves up to two days per week in Macro’s London office. As Macro operates globally, there may be a requirement to work across different time zones. Please note that this role is a Fixed Term Contract (Maternity Cover) only.

Main Job Responsibilities

  • Responsible for the design, look, and feel of the bid response documents and presentations.
  • Manage the document and design process for any proposal and bid response – identifying key dates, times, and milestones, and continually reinforcing these to the project team; identifying document-related risks to the solutions and bidding manager.
  • Analyse the customer’s RFP for ‘document’ requirements such as layout, format, restrictions, etc.
  • Create the response template based on the customer’s RFP and standard in-house templates or bespoke designs for the specific opportunity.
  • Populate the proposal with content provided by various contributors.
  • Develop tailored graphics and illustrations for inclusion in the proposal.
  • Ensure the proposal is professionally laid-out and formatted, working with external designers when required for more strategic specific bids.
  • Maintain version control as proposal is developed (e.g., providing draft copies as needed and updating the bid plan regarding content status; identifying missing content and escalating where required).
  • Develop and maintain standard reusable document templates.
  • Maintain the library of all previously submitted bid responses, proposals, presentations, and infographics.
  • Proofread sections of the document when required.
  • Provide administrative support for the tender response effort when necessary (e.g. meeting co-ordination, minute-taking, and action tracking).
  • Support the creation and design of slides and other collateral for presentations, where appropriate.
  • Work closely with Marketing to support with marketing campaigns, presentations, capability statements, and social media posts.

About You

  • Excellent written English, with strong written and oral communication skills.
  • Computer literacy, including essential proficiency in Microsoft Office programs.
  • Adobe Creative Suite (InDesign) experience at least at an intermediate level (essential).

  • A good understanding of project management techniques relating to document management and design work.
  • The ability to establish effective rapport with, and gain the confidence of, team members, content contributors, managers, and stakeholders.
  • The ability to work calmly under pressure.
  • The ability to escalate issues effectively when key project milestones may be at risk.
  • Enthusiasm for working in an intensive, deadline‑driven, and high‑profile role.
  • The ability to work effectively on multiple, concurrent projects.
  • The ability to work both independently and as part of a team, as required.
  • Flexibility to work extended hours, by prior arrangement, when required to meet deadlines.

  • Degree or equivalent qualification in a relevant subject.
