Job Description
Join our Macquarie Asset Management (MAM) Real Assets Infrastructure division. This is a fantastic opportunity for an enthusiastic Executive Assistant looking to apply your existing experience and develop your career. This is a fast-paced role requiring a positive, confident and proactive approach for someone who can work productively in a pressurised environment.
This is a hybrid London based role and requires a 3 days office working requirement.

What role will you play?
We are seeking a highly organised and proactive Executive Assistant to join our team. The ideal candidate will have extensive experience in calendar management, including booking meetings, resolving scheduling conflicts, and arranging rooms and catering. You will be responsible for coordinating complex travel arrangements, such as flights, hotels, transportation, and visas, ensuring all details are confirmed and managed efficiently. Additionally, you will handle processing purchase orders and invoices through Coupa, as well as managing monthly expense claims via Concur to meet strict deadlines. The role also involves producing and coordinating meeting documents, including printing, binding, and scanning, along with providing general administrative support such as organising large-scale events for the department and the team. You will also provide ad hoc team support for other Executive Assistants as required.
What you offer
- 5 years work experience as an EA supporting senior directors and a team within a fast-paced office environment.
- Strong Outlook experience and be able to manage several calendars, working across different time zones.
- Good working knowledge of MS Word, MS Excel, MS PowerPoint and strong MS Outlook experience.
- Excellent attention to detail and organisational skills.
- Ability to balance conflicting priorities and make decisions accordingly.
- Proactive and enthusiastic attitude, with the ability to anticipate needs of team members and take action as necessary.
- Good judgement and discretion on confidential matters.
- Strong team player with the ability to work as part of a team.
