Overview
Personal Assistant - FTC (end Date April 30th 2027). Contract type: Fixed Term Contract. Full time: 34.5 hours, we are open to a conversation about how you work these hours. Location: Hybrid between home and our London office - expectations for this role will be once a month (some travel expected across the UK to support key meetings and events).

About the role
We’re looking for a highly organised and proactive Personal Assistant to support our Director of Communications, Brand & Content and Director of National Systems Change. This important role will provide administrative assistance to help deliver our strategic and operational objectives. The successful candidate will act as a valued and trusted partner to the Directors, building an understanding of their agenda and adding value. In this role, you’ll be the first point of contact for internal and external stakeholders acting as an extension of the Director and supporting them to achieve their priorities.
Key responsibilities:
- Act as the first point of contact for the Director, managing correspondence and queries with professionalism and discretion.
- Proactively manage complex diaries, inboxes, and schedules, adapting to change with a positive mindset.
- Coordinate meetings and events, including logistics like organising travel and accommodation, agendas, briefing notes, minutes, and action plans.
- Drive continuous improvement in department processes and systems, testing new approaches to improve efficiency and maximise the Directors' effectiveness.
- Handle administrative tasks such as managing expenses, purchase orders, room bookings, and catering.
- Build strong relationships with internal teams and external partners, maintaining confidentiality and trust.
- Collaborate with other PAs and Business Support colleagues to ensure seamless service and coverage.
- Aid the Director in producing high quality, accurate and well-presented documents including written reports, presentations and data representation.
- Support the Director with reporting, briefing coordination, and ad-hoc tasks as needed.
- Reflect the behaviours and values of the Director and of Macmillan, contributing to a high-performing, self-sufficient culture.
About you

- Solid track record of previous experience in administrative processes and support for senior leaders.
- Proactive approach to anticipating needs and outcomes.
- Adaptable and flexible to build positive working styles tailored to each Director and bringing out each other's best work.
- Excellent organisational and planning skills and demonstrable ability to prioritise and work to deadlines in a multi-tasking environment.
- Experience in using tools and systems, with strong proficiency in Microsoft Office applications, including Outlook, Teams, Word, PowerPoint, and Excel.
- Confidence and curiosity at improving systems and processes using AI and other appropriate tools.
- Creative problem solver and self-starter, able to identify and act on priorities.
- Strong written and verbal communication skills, including confidence in dealing with individuals at all levels.
- Ability to develop professional working relationships and build trust quickly with internal and external stakeholders.
- Ability to convene and work with colleagues on projects and governance groups.
