We're looking for an experienced Document Controller to join our UK Projects Team, based in Altens, Aberdeen, on a full-time, permanent basis.
In this role, you’ll be a key part of ensuring high-quality, compliant documentation is delivered across our UK operations. You’ll work closely with internal teams and clients to manage documentation workflows, meet deadlines, and support project delivery. What You'll Be Doing:
- Ensure all client documentation is accurate, compliant, complete and delivered to agreed deadlines.
- Manage document control activities, including submissions, trackers, filing and archiving, in line with company and client procedures.
- Coordinate documentation requirements across UK business units, vendors and branches, identifying and escalating potential delays or issues.
- Advise project and commercial teams on documentation requirements during tender, quotation and project stages, including bid document matrices.
- Liaise with clients and vendors to establish document requirements, submission schedules and completion deadlines.
- Maintain effective working relationships with client and vendor Document Controllers.
- Attend project kick-off and regular meetings as required.
- Ensure documentation is completed and closed out to support timely retention invoicing.
- Provide regular updates to the Project Operations Manager on documentation status, completion dates and anticipated retention invoice submissions.
- Maintain confidential and accurate records of current and archived documentation.
- Ensure all communications reflect a professional company image.
- Undertake other duties as required.
What We’re Looking For:
- Proven experience in a document control or similar administrative role.
- Detail-oriented with strong organisational and multitasking abilities.
- Confident communicator who can collaborate across teams and with clients.
- Proficient in Microsoft Office Suite and familiar with document control software (Nuance experience is a plus).
- An understanding of various information technology platforms for documentation management.
- A professional, proactive team player with a can-do attitude.
