MacLean Engineering is looking for an energetic Site Administrative Coordinator to add to the existing skills of our Telematics, Automation, and Controls (TAC) Team. The Site Administrative Coordinator role is responsible for supporting daily operations at the Cambridge facility and provides administrative support to the Director of Engineering (Telematics, Automation, and Controls). The Telematics, Automation and Controls is dispersed through the entire network at MacLean (including Mexico) and this role is designed to ensure efficient coordination, communication, and execution of administrative and site activities.
The following proficiencies are required:
- Coordinate site operations including health and safety, office logistics, vendor interactions and helps to spotlight corporate communications at the site from various departments (i.e. HR, Finance, Payroll, Health & Safety etc.)
- Triage local (Cambridge Site) facilities requests and issues and coordinate with internal resources (i.e. IT Help Desk, Construction Leader, Facilities Team) to bring items to resolution
- Manage calendars, meetings, travel, and correspondence for engineering leadership and team members with appropriate vendors
- Prepare presentations, reports, and meeting materials; document and track action items
- Organize meetings, events, and reviews (logistics, venues, catering, materials) at multiple MacLean sites
- Track expenses, invoices, and administrative financial records
- Maintain confidential files and handle sensitive information with discretion
- Assist with documentation and project management workflows
- Facilitate communication across teams and follow up on outstanding actions
- Support ad hoc administrative and operational initiatives as required
- Occasional travel to MacLean sites is required for events and team meetings (1 per quarter)
The successful candidate(s) must be willing to learn, open-minded and flexible, organized and detail oriented, team oriented, disciplined, and must have a positive attitude, along with the following qualifications:
Core Skills- Administrative and Organizational: Strong prioritization, time management and multi-tasking; High attention to detail and ability to maintain structured systems; Proficient in preparing and formatting documents, reports, and presentations
- Technical: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint); Familiarity with document management systems (e.g., Confluence, PDM); Ability to manage and track project or structured data (DevOps, BOMs, Power BI Reports); Experience with reporting dashboards (e.g., Power BI) is an asset
- Communication and Collaboration: Clear, professional written and verbal communication; Ability to work cross-functional with technical and non-technical teams; Strong customer service mindset with stakeholder coordination and follow-through
- Project Coordination: Highly self-directed; able to operate effectively with limited guidance or loosely defined processes; Works in close alignment with the Project Management Office (PMO) to support timelines, deliverables, and tracking structures, including gathering inputs and maintaining visibility on progress; Proactively identifies gaps, risks, and missing information, ensuring follow-ups are completed and escalating where needed
Qualifications and Experience:
- 2-5 years in administrative, coordinator, or similar role
- Experience supporting senior leadership, or executives preferred
- Demonstrated ability to manage multiple priorities in a fast-paced environment
- High level of discretion and professionalism
- Experience in engineering, manufacturing, or technical environments is an asset
- Post secondary degree is preferred
