An opportunity has arisen to join the Outbound Department as a Warehouse Operative - Night Administrator, reporting to the Shift Manager. This role plays a key part in supporting the smooth running of the night operation by coordinating administrative activity, preparing accurate despatch documentation and supporting effective communication between operational teams and third-party carriers. The successful candidate will ensure administrative compliance to relevant H&S policies and operational KPI data is updated timely and accurately, contributing to a seamless customer journey and the continued improvement of warehouse processes.
Principal Accountabilities:- Complete all night shift administration accurately and on time, ensuring operational records, reports and system updates are maintained to a high standard.
- Generate, check and issue despatch paperwork, carrier documentation, manifests and any supporting records required for outbound loads.
- Liaise effectively with Shift Managers, Team Leaders, operational colleagues and third-party carriers to ensure service levels and customer commitments are achieved.
- Maintain accurate data within warehouse management, transport and reporting systems, ensuring information is reliable and available for operational decision-making.
- Track and support delivery against key operational KPIs, highlighting trends, exceptions or areas requiring attention.
- Support process improvement activity by identifying opportunities to reduce waste, improve accuracy and strengthen ways of working across the night operation.
- Ensure all activities are completed in line with health and safety standards, company policies and relevant operational procedures.
- Carry out any other reasonable duties required to support the effective running of the Outbound Department.
- Previous experience in a warehouse administration, transport administration, office administration or operational support role.
- Strong attention to detail, with the ability to produce accurate documentation and maintain reliable records.
- Confident IT skills, including Microsoft Excel, Word and Outlook, with the ability to use warehouse management systems, transport systems and reporting tools such as Power BI.
- Excellent communication skills, both written and verbal, with the confidence to liaise with colleagues, leaders and external carrier contacts.
- The ability to prioritise workload, manage competing tasks and remain calm when working at pace or under pressure.
- Good organisational and problem-solving skills, with a proactive approach to resolving issues and escalating where required.
- An understanding of warehouse processes, despatch activity, service levels and the importance of accurate operational administration.
- A flexible approach to working nights and supporting operational requirements across the shift pattern.
- A strong team player who is willing to support colleagues and go the extra mile when needed.
- Customer-focused, with a clear understanding of how accurate administration supports the end-to-end customer journey.
