Providing project coordination and administrative support to project teams. Responsible for supporting (area/team), using basic/established technical capabilities and project methodology. Please note: Initially the role will be based from Moorgate however when the project goes to location there will be the need to be onsite occasionally in Bedfordshire.
You’ll be responsible for:
- Organising any travel arrangements for the team.
- Collating team timesheets to upload on to system/s and internal excel spreadsheets for invoicing.
- Maintaining holiday and sick leave information for the teams.
- Managing document/correspondence control - Issuing reference numbers to members and formally issuing documentation and correspondence via conject.
- Coordinating key meetings and ensuring packs are issued to team members prior to the meeting and final copies uploaded to conject.
- May carry out administrative tasks, including typing agendas, minutes.
- Supporting the production of project documentation and presentations including, producing documents, briefing papers and reports.
- Liaising with staff in other departments and with external contacts.
- Providing basic IT Support to the teams.
- Reviewing and approving timesheet submissions.
- Co-ordinate events and business continuity for team.
- May act as a first escalation point on project issues and risks.
- Providing guidance and coaching to more junior roles.
- Developing working relationships with (range of) internal stakeholders.
- Working collaboratively towards the common goal of net zero carbon transition, and share responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work.
You’ll need to have:
- Good written and verbal communication skills to effectively collaborate at all levels within the organisation.
- Experience in the construction industry.
- Experience coordinating projects spanning technology, process and people change.
