Assistant bidding manager will support the business by planning and managing the bid process and delivering tender responses in line with the company’s brand, position and processes. Also, this is a maternity cover for 12 months where you will aid the bid lead in translating win strategies and business objectives into smart, compelling, consistent, customer-focused, error-free documents and presentations, project managing activity through department bid plans and escalating risk to bid lead where required, and lead on coordinating meetings, signoffs, collation of corporate information for proposals and administration tasks within the Mace Bid Process.
You’ll be responsible for:
- Supporting workshops and research tasks to analyse client goals, drivers and ambitions, client technical and commercial targets, market and competition, aligned to Mace governance (e.g. Go No-Go, Golden Rules Review etc).
- Analysing ender documentation to review and support relevant tender priorities.
- Undertaking detailed client/project/scope/stakeholder/competitor research to better understand opportunities.
- Following the Mace Bid Process to deliver a high quality, client-focused proposal, support best practice.
- Project/bid coordination – analysing tender documents to define client requirements, deliverables, set deadlines and owners – the bid plan.
- Projecting plans, supports the bid programme, highlighting interdependencies and monitoring /reporting on progress.
- Coordinating internal and external progress meetings – bid kick off/regular progress meetings, supporting bid team through mid-bid/site/progress meeting.
- Appropriate dissemination, communication of client tender clarifications and facilitation of appropriate action in response.
- Gathering and issuing any clarifications required to the client.
- Aiding the drafting of standard content /CVs/project profiles – closing gaps where possible by interviewing /questioning relevant parts of the business.
- Proof/copy edit responses to ensure compliant, compelling, benefits-driven copy.
- Ensuring all required reviews and adjudication/signoffs are achieved in line with Mace Way Engage.
- Coordinating the creation of additional supporting content – printed models/video/large-format printing/presentations.
- Capturing all new content within the Work Winning Content Hub (Aftercare).
- Facilitating, recording and sharing lessons learnt/best practice
- Supporting improvement activities and projects which may be focused on improving work winning team performance, or competence and capability of the Mace business.
- Working collaboratively towards the common goal of net zero carbon transition and share responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work.
You’ll need to have:
- Good organisational and project coordination skills.
- Very high standard of written English, skilled in editing copy to correct grammar, spelling and punctuation with the ability to shape compelling responses.
- Skilled to manage delivery through colleagues, including technical employees at all levels, bid colleagues, marketing and communications, and external suppliers.
- Empathy – guardian of client drivers.
- Positive challenge – driving getting the best out of the team.
- Influence – ability to lead the room.
- Proficient in the use of Microsoft application; Teams, SharePoint, Word, Excel and PowerPoint.
- Understanding of the Mural whiteboarding tool.
- Proficient in the use of the Qorus bid management tool.
- Degree in a relevant discipline or comparable professional experience (or equivalent).

You’ll also have:
- An understanding of professional service and/or the building/property industry.
- Adobe suite of software, especially InDesign.
- Ideally member of APMP, CIM or another appropriate professional body.
- APMP Foundation.
