Project:
Mace was appointed as main contractor on the European Centre for Medium-Range Weather Forecasts (ECMWF)
The facility will be home to up to 300 scientists to support world-leading work on all aspects of weather prediction systems, forecast production, and research into climate change and will benefit everyone in having better forecasts and being able to act on those forecasts more quickly.
Designed to be an industry leading net zero carbon building, the development is targeting a ‘BREEAM Excellent’ rating and will be low carbon during construction and in operation.
Once complete, the new HQ will house a research institute as well as a 24/7 operational services, producing and disseminating numerical weather prediction to its member states. The new designs feature cross-disciplinary workspaces, a conference centre, council chamber, interactive weather room and central atrium.
The addition of the new headquarters on the campus will create the largest cluster of weather and climate research and operational forecasting facilities in the world, alongside the University\’s Department of Meteorology, and parts of the UK Met Office, NERC National Centre for Atmospheric Sciences and NERC National Centre for Earth Observation.
The role is a team facing role, so is the suitable individual will be required to be on site in Reading to assist in the efficient running of the office. Provides support in coordinating activities of a team.
You’ll be responsible for:

Arranges accounting facilities with suppliers of couriers, printing, stationery, PPE and signage.

Books meeting rooms for all meetings and arrange refreshments/lunches for client/external meetings.

Creates agendas; minute taking, chasing actions and distributing minutes.

Orders and maintains toner for printers.
-
Coordinates and updates monthly progress ratings.
-
Manages petty cash and reconciliations for accounts department and recovery.
-
Supports monthly reporting – client report and contract review.

Contributes to the preparation of internal and external presentations – monthly team meeting and etc.

Updates email circulation list for project.

Arranges new starter set up, HR forms, IT ordering and etc.
-
Arranges internal and external events.
-
Tracks new starters/leavers, training matrix and CSCS card updates.
-
Assists in maintain staff training records and ensuring training is up to date.

Ensures all Infomace pages/CVs and project profiles are up to date.

Assists with booking travel – as requested by team, trains and hotels.

Maintains holiday and absence records.
-
Develops working relationships with (range of) internal stakeholders.

Performs generic clerical duties for the senior and wider team such as; printing, photocopying, room bookings, filing and etc.

Works collaboratively towards the common goal of net zero carbon transition, and share responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work.
You’ll need to have:

Strong IT skills covering Access, Excel, Word, Outlook.

Experience in using web-based applications/software.

Knowledge and use of office management systems.

Strong written and oral communication skills.
