Office Manager (Construction) – Norwich
This role will sit within one of our largest Business Units, Public, Science & Technology. You will be the Office Manager based onsite 5 days a week on a large-scale construction project in Norwich.
The Office Manager’s role includes ensuring the efficient running of the office based onsite. They will be responsible for coordinating activities of the team and support the team to ensure members are able to carry out their role.
You’ll be responsible for:

Ensuring all team members are aware of administration processes, to ensure the office runs efficiently and smoothly.

Arrange accounting facilities with suppliers of couriers, printing, stationery, PPE and signage.

Handle mobile phone issues for the project team, order handsets/accessories as required.

Book meeting rooms for all meetings and arrange refreshments/lunches for client/external meetings.

Create agendas; minute taking, chasing actions and distributing minutes.

Order and maintain toner for printers.

Coordinate and update monthly progress ratings.

Manage petty cash and reconciliations for accounts department and recovery.

Providing monthly reporting - client reporting and contract review.

Prepare internal and external presentations - monthly team meetings, etc.
Update email circulation list for the project. -
Act as main point of contact for admin support and office related queries such as ordering IT equipment, PPE orders, letter heads, business cards etc.

Arrange new starter set up, HR forms, IT ordering etc.

Arrange internal and external events.

Track new starters/leavers, training matrix and CSCS card updates.

Maintain staff training records and ensuring training is up to date.

Responsible for booking travel - as requested by team, trains and hotels.
Develop effective working relationships with both internal and external stakeholders. -
Performs generic clerical duties for the senior and wider team such as; printing, photocopying, room bookings, filing etc.
You’ll need to have:

Excellent IT skills covering Access, Excel, Word, Outlook.

Knowledge and use of office management systems.

Office Manager experience in a Construction environment.

Strong written and oral communication skills.

Experience in building lasting client relationships and providing support to strong, motivated teams.
