An experienced Facilities Manager is required to take responsibility for the day-to-day management of office facilities, with a primary focus on our head office and support for two regional offices. This role is responsible for ensuring our offices remain safe, compliant, well-maintained and fit for purpose. You'll work closely with colleagues, contractors, landlords and service providers to deliver a high standard of workplace support, while also managing reception teams.
Key Responsibilities
- Coordinate planned and reactive maintenance activities and ensure issues are dealt with in a timely manner.
- Prepare scopes of work and service specifications for maintenance activities, workplace improvements and facilities projects.
- Support procurement activities, including obtaining quotations, reviewing tenders and appointing contractors.
- Manage contractors and service providers, ensuring work is carried out safely, professionally and to the required standard.
- Oversee facilities contracts including cleaning, security, waste management, maintenance and other workplace services.
- Support office moves, refurbishments, space planning exercises and general workplace improvement projects.
- Ensure facilities activities are carried out in line with company procedures and relevant health and safety requirements.
- Carry out workplace inspections and support risk management and contractor control processes.
- Maintain facilities records, contractor documentation, compliance information and service agreements.
- Monitor facilities expenditure, process purchase orders and review invoices against agreed services.
- Support sustainability initiatives, including waste reduction, recycling and utility monitoring.
- Develop positive working relationships with internal stakeholders, landlords, building management teams and suppliers.
This role would suit someone with an IOSH qualification who enjoys a varied workload, is comfortable taking ownership of facilities issues, and can build strong working relationships with colleagues, contractors and service providers. You'll be practical, organised and able to balance day-to-day operational demands with longer-term improvements and projects. This role requires office/site presence five days a week.
