As Contracts Co-ordinator you will play a key role in ensuring a first-class service is delivered across all MAC Groundworks projects. You will provide essential support to the Contracts Managers and Project Teams, contributing to the successful delivery of projects from pre-start through to completion. The role focuses on health and safety compliance, contractual administration, project planning, coordination of resources and accurate project reporting using Reflow, ensuring projects are delivered safely, efficiently and on time.

Key departmental responsibilities of the role include but are not limited to:

  • Create, issue, maintain and close out construction contracts from project commencement through to completion.
  • Provide comprehensive administrative support to the Contracts Managers across multiple live projects.
  • Maintain accurate and up-to-date project records, ensuring all information is correctly uploaded, managed and maintained within Reflow.
  • Ensure contract documentation, variations, correspondence and key project records are recorded and tracked within Reflow.
  • Support the ongoing administration of contract documentation throughout the project lifecycle.
  • Assist Contracts Managers in producing accurate Construction Phase Plans, Risk Assessments and Method Statements (RAMS).
  • Upload, manage and maintain health and safety documentation within Reflow, ensuring records are complete and current.
  • Ensure all required health and safety documentation is in place prior to works commencing.
  • Support compliance with company procedures, client requirements and statutory regulations.
  • Assist with the collation and management of site documentation including inductions, permits and inspections through Reflow.
  • Support the set-up of new projects within Reflow, ensuring all required documentation, resources and workflows are established.
  • Support the organisation of plant, materials and equipment supplied by MAC Groundworks and third parties.
  • Support the allocation of the workforce on a project-by-project basis, updating records within Reflow as required.
  • Assist with logistics planning including deliveries, access requirements and site constraints.
  • Attend regular Contracts and Project Meetings as required.
  • Prepare agendas, meeting packs, reports and supporting documentation, using data extracted from Reflow where appropriate.
  • Take and distribute accurate meeting minutes and ensure actions are tracked and followed up.
  • Maintain strong working relationships with clients, suppliers and internal colleagues.
