What you'll do

  • Manage the scheduling of workshop activities, ensuring that all tasks are prioritized and executed in a timely manner to meet operational demands.
  • Maintain accurate records of equipment and materials, including inventory management and stock control, to ensure that all necessary resources are available for workshop activities.
  • Assist in the preparation of workshop reports, providing insights into productivity, equipment usage, and any issues that may arise during operations.
  • Coordinate with various departments to facilitate effective communication and collaboration, ensuring that all stakeholders are informed of workshop schedules and requirements.
  • Support the workshop team by organizing and maintaining a clean and safe working environment, adhering to health and safety regulations at all times.
  • Handle incoming inquiries and requests from clients and staff, providing excellent customer service and addressing any concerns promptly.
  • Process administrative paperwork related to workshop operations, including job orders, invoices, and service records, ensuring accuracy and compliance with company policies.
  • Assist in the onboarding of new staff members within the workshop, providing them with the necessary training and resources to succeed in their roles.
  • Monitor and report on workshop performance metrics, identifying areas for improvement and contributing to the development of operational strategies.
  • Participate in regular team meetings to discuss progress, challenges, and opportunities for enhancing workshop efficiency.
  • Collaborate with the procurement team to ensure timely ordering of supplies and equipment, optimizing costs while maintaining quality standards.
  • Support the implementation of new technologies and processes within the workshop to enhance productivity and streamline operations.

Requirements

  • Proven experience in an administrative role, preferably within a workshop or manufacturing environment.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent communication skills, both verbal and written, with a focus on customer service.
  • Proficiency in Microsoft Office Suite, particularly Excel and Word, with the ability to learn new software quickly.
  • Familiarity with inventory management systems and administrative procedures related to workshop operations.
  • A proactive approach to problem-solving, with the ability to work independently and as part of a team.

Nice to have

  • Previous experience in the construction or equipment rental industry would be advantageous.
  • Knowledge of health and safety regulations relevant to workshop environments.
  • Experience with project management tools or software.
  • A background in engineering or mechanical fields could be beneficial.
