We are seeking a highly organised, professional, and proactive Transport Administrator to join our close‑knitted logistics team at our Dovenby Hall headquarters, directly supporting the Transport Manager. No prior transport or logistics experience is necessary. While any administrative or industry experience is a bonus, a self‑motivated individual will be able to teach themselves with our support as they go. If you are an exceptionally organised individual with a professional attitude, strong attention to detail, and a desire to work in a fast‑paced environment, we want to hear from you.
The role responsibilities include:
- Driver & Compliance Administration: Helping to source contract drivers, organising their paperwork, and learning to monitor driver hours and tachograph compliance.
- Invoice Verification: Checking, monitoring, and processing driver invoices to support budget tracking.
- Customs & Documentation: Learning to create, maintain, and process multiple ATA Carnets and international shipping documents for global events.
- Route & Logistics Planning: Assisting with planning European transit routes, booking ferries, and coordinating time‑critical vehicle and freight movements.
- Supplier Coordination: Acting as a professional point of contact for internal departments, drivers, and external freight suppliers.
We’re looking for a self‑motivated team player with a positive and enthusiastic attitude who understands the high stakes of motorsport logistics and thrives under pressure. You must be comfortable working at pace and adapting to last‑minute schedule changes, especially during live events.
Essential Criteria & Skills:
- Exceptional Organisation: A natural ability to multitask, keep flawless records, and maintain a high level of attention to detail.
- Professionalism & Communication: Excellent written and verbal communication skills, with a confident telephone manner when dealing with drivers and suppliers.
- Software & IT Literacy: Strong foundational MS Office skills (Word, Excel, Outlook) and the capability and confidence to use transport‑specific software (e.g., Tachomaster) and other tracking systems over time.
- Flexibility: A flexible approach to working hours; while this is primarily a structured role, live motorsport events occasionally require work outside of normal operating hours.
Preferred Experience:
- Previous experience in a general administrative, office coordination, or customer service role.
- Familiarity with transport logistics, shipping, or customs processes (e.g., ATA Carnets).
- Exposure to transport‑specific software (such as Tachomaster) or compliance tracking.
