What will you be doing?
As Hire Administrator , you will be responsible for the day-to-day administration of external plant and fleet hire activity, ensuring all hire transactions, supplier invoicing and system records are processed accurately and within agreed timescales. You will play a key role in maintaining accurate hire data, supporting supplier relationships and ensuring efficient financial control across the hire operation.
Working closely with the Hire Desk Manager, suppliers and internal stakeholders, you will support the delivery of an efficient and cost-effective hire service by ensuring systems are accurately maintained, invoices are reconciled and operational processes are completed in line with business requirements.
Key Responsibilities Manage external plant and fleet hire allocations, ensuring all hires are accurately recorded and maintained within company systems.
Process external plant off-hires, ensuring all hire periods are correctly updated and closed.
Complete goods receipt processes and open purchase orders to enable supplier billing.
Confirm supplier deliveries and collections have been completed and update systems accordingly.
Produce and distribute supplier invoice copies upon request.
Carry out regular reconciliations between supplier reports and internal hire management systems for both fleet and plant assets.
Investigate and resolve supplier invoice queries, ensuring prompt resolution and accurate records.
Reconcile invoice data to ensure supplier charges align with actual hire activity.
Review live hire reports to identify discrepancies and maintain system accuracy.
Build and maintain positive working relationships with suppliers, customers and internal stakeholders.
Demonstrate proficiency in all aspects of hire administration, data management and system usage.
