The New Enquiries Executive will report into the New Enquiries Executive Team Leader and the New Instructions Team Manager, whilst being supported by the Business Development Team. The New Instructions and New Enquiries Team are a pivotal part of the business and provide exceptional service to our clients.

Responsibilities and Duties

  • Providing quotes for our legal services as requested by our clients, Estate Agents, or other 3rd parties.
  • Sourcing new sales opportunities through inbound lead follow up calls and emails.
  • Managing your own diary and workload to ensure successful and prompt conversion of leads and quotes.
  • Working with the New Instructions and Business Development teams to achieve the overall company target of instructions and quotes per month.
  • Monitoring accurately and reporting to the Business Development Team, reasons for declined instructions.
  • Following up all quotes within company agreed timeframe.
  • Ensuring that our CRM is updated with all sales activity on a daily basis.
  • Proactively utilising our CRM systems to sell all elements of the business.

Communication & Client Care

  • Effectively communicating with clients via telephone, email and face-to-face.
  • Providing exceptional service to our clients through regular communication.
  • Dealing with any client care issues as soon as they are identified, taking ownership of the matter, and responding in a timely manner.
  • Maintaining strong business relationships with internal & external stakeholders.
  • Building long term relationships with our agents and clients.

Use of IT

  • Complete all mandatory training as instructed.
  • Use the relevant systems on a daily basis to ensure the accuracy and effectiveness of your work.
  • Attend full training and be confident in the use of: Communicator, Email, SOS Connect, Perfect portal, Post Room.
  • Report any issues with IT to the Operations team.

Team Working

  • Working with your colleagues to ensure that everyone is supported.
  • Planning your own holiday and time off effectively.
  • Attending all daily meetings with your Legal Team and Exchange & Completions Team.

General Responsibilities

  • To act with integrity and honesty, and in line with the Solicitor Regulations Authority (SRA) code of conduct.
  • Ensure that all administration, records and files are stored and processed in line with the Data Protection Act 2018 and the General Data Protection Regulations 2018.
  • Undertake any other duties as may be reasonably required.
  • Liaising with the Accounts Department regarding payment and financial matters.
  • Ensure work issues or problems are reported immediately to the management team.

  • Proven track record in providing exceptional client care.
  • Can demonstrate excellent sales skills over the phone, via email and face to face.
  • Be proactive in your approach to sales.

Desirable Criteria

  • Previous experience working within an Estate Agents or Solicitors.
  • Previous experience working within a multi departmental business, cross selling a variety of services.
