As the face of Lyons Bowe, the Legal Assistant in the New Instruction Team is responsible for the onboarding of new clients and supporting the team leader by processing the relevant documentation, responding to queries and keeping the relevant parties fully informed at all times. Client contact by telephone and correspondence on current matters also form a major part of the daily duties as well as the responsibility for maintaining records and databases within the department.
Responsibilities and Duties
- Administration
- Navigation and use of case management system and integrated systems
- Dealing with postal duties (including franking, arranging special and recorded delivery items at the Post Office and collection of DX from local collection point)
- Opening and closing/archiving files
- Filing, photocopying, and scanning documents
- Meeting and greeting clients and other visitors to the office
- Building relationships with estate agents and other external clients to build the Lyons Bowe name in the location
- Monitoring our online systems throughout the day for new cases – Opening Files and the administration of these files as well as maintaining the Customer Relationship Management (CRM) system
- Responding to inquiries made by clients about products and services in a timely and friendly manner.
- Supporting the New Instructions Team Leader and New Instructions Team Manager in sales tasks as and when required
- Identifying opportunities and building long term relations with the appropriate prospects
- Promote the company’s products/services addressing or predicting clients’ objectives
- Provide trustworthy feedback and after-sales support
Requirements
We are looking for candidates who have:
- GCSE’s grade 4 or above in English and Maths
- Good working knowledge of Microsoft Office packages including Word, Outlook and Excel
- Experience working in an office environment
- Ideally, they will have worked within an Estate Agents or Law Firm and have a good understanding of the conveyancing process, however this is not essential as full training will be given.
- We are looking for an outgoing team player who is self-motivated, can work well under pressure and is looking to build a career in law.
Training Plan
Upon joining Lyons Bowe, you will be enrolled on an apprentice programme studying a Level 3 Business Administration with Legal Pathway. This takes approximately 15 months to complete and during this time you will be allocated 1 day per week to complete your studies at work.

There are plenty of opportunities for the post holder to develop their skills within New Instructions and have a successful and fulfilling career, however, here at Lyons Bowe we appreciate that everyone is different, and we are lucky enough to have a strong legal and operational aspect to our business. So, whether they want to develop their skills in New Instructions, train as a Legal Assistant with the view to becoming a solicitor or find a career within a business support function, we have development and progression plans available for them. Any opportunities or requests will be discussed with the post holder, Line Manager and Learning & Development Manager as required. Whatever you decide to do, Lyons Bowe will support and guide you along the way.
