We are looking to recruit a Full-Time Valuations Administrator for our busy Valuations department (Monday to Friday, 9am to 5pm) based at our central Edinburgh location. The ideal applicant would be a highly organised, strong administrator, team player. Administration and client service experience essential.
Primary Function / Position Summary
To oversee the efficient running of the Valuations Department, ensuring high-quality and timely delivery of valuation services and documentation. To act as a key liaison between clients and valuers, ensuring clear communication and smooth workflow. To maintain and improve departmental processes, ensuring consistency, accuracy, and adherence to company service standards.
Essential Job Functions
- Client & Valuer Liaison: Acting as primary point of contact for clients regarding valuations, from initial enquiries through progress updates to completion. Assigning valuations to appropriate valuers to arrange visits, ensuring valuers have all relevant information in advance. Being kept up to date by valuers on progress of initial valuation. Resolving issues or delays in scheduling, documentation, or communication, where appropriate.
- Valuations Production: Production and dispatch of valuation documents and fee notes, in line with our templates and service standards. Creating draft documents from valuer notes. Reviewing drafts and basic proofreading/editing before submission to lead valuer. Finalising on return of draft from valuer. Ensuring consistency in formatting, quality and adherence to company templates. Monitoring timelines for valuation report production and ensuring deadlines are met.
- Administration & Systems: Overseeing booking systems, database updates, SharePoint entries, and record maintenance. Ensuring data accuracy and secure document storage. Monitoring administrative processes and identifying improvement. Where appropriate, creating sales receipts for auction jobs generated by Valuations.
- Meetings & Reporting: Timetabling monthly Valuations Department meetings, including agenda setting and follow‑up actions. Providing regular updates to senior management on workload, performance, and any issues. Tracking KPIs such as turnaround times, document accuracy and departmental fees.
- Teamwork: Liaison with Glasgow Office Manager to ensure valuations being produced in Glasgow are meeting service standards. Providing support and escalation point for urgent or complex valuations and tasks.
Qualification Requirements
- Strong organisational skills.

- Proven ability to manage multiple priorities and deadlines.
- Strong communication skills, both internal and client‑facing.
- Experience with document production, databases (AMS), and Microsoft Office/SharePoint.
- Ability to improve processes and implement efficient workflows.
